Dispatcher - Commercial Mechanical Contractor

Main Job Responsibilities:
- Dispatches union technicians based on degree of work difficulty, location and current level of performance:
- Creates work schedule for field and on-call schedules for technicians.
- Coordinates with Service/Operations Manager regarding daily dispatch of technicians.
- Quoting HVAC and plumbing repairs and replacements
- Participates in training and ensures quick, accurate dispatch on incoming maintenance & work orders.
- Ensures customer awareness of scheduling and technician arrival time
- Shop trips reduced – procure materials and equipment
- Sourcing and Purchasing
- Responsible for monitoring and distributing service calls in a timely manner
- Schedules service calls based on site location and job length
- Verifies accuracy of call information prior to dispatching
- Responds to customer requests, resolving issues and promote the brand
- Support the bidding, project managers, supervisor and field teams team in executing their duties with administrative and co-ordination between team members
- Provide support and assistance with setting up new maintenance agreement customers, coordinate first service
- Provide administrative job costing coordination with accounting
- Provide liaison between field technicians, sales and engineering functions
- Acquire and maintain permits, licenses and project documentation for service projects
- Management of databases and CRM systems
- Parts running where required to jobs (as needed), or returning parts for credit
- Representation and participation in maintenance and service project bids
- Time Card approval and validation of field team hours
- Daily job audit and invoicing for work completed or rescheduling when work is not complete
- Assist in onboarding and training new technicians or support staff
- Fleet maintenance and reporting
- Manage field uniforms
- Manage field devices such as cell phones, tablets, and laptops
- Schedule service requests for office needs
- Additional duties or assistance as required
Other Requirements:
- Understanding of commercial HVAC service and preventative maintenance
- Understanding of commercial Plumbing service
- Experience in work order or dispatching software
- Write reports and business correspondence
- Problem solving
- Proficiency of Microsoft Office products
- Valid driver’s license
- Professional appearance
- Strong interpersonal skills, achievement oriented, self-motivated, and organized
Education and Experience Required:
- Bachelor’s degree preferred, but not required
- At least three years of related to commercial HVAC and or mechanical experience required
- Or an equivalent combination of both education and experience
- Valid Washington State drivers license with good driving record
