We’re looking for a professional, positive, and proactive Administrative Assistant to join our team and provide essential support to management, project teams, and departments throughout the organization. What You’ll Do
As a key member of our office team, you’ll help keep daily operations running efficiently while serving as a welcoming first point of contact for visitors, customers, vendors, and incoming communications.
Your day may include:
- Providing administrative and clerical support to management, project teams, and departments.
- Preparing, organizing, distributing, and maintaining documents, reports, spreadsheets, correspondence, and presentations.
- Answering and directing phone calls, greeting visitors, assisting customers and vendors, and connecting people with the right team members.
- Responding to routine questions and helping ensure requests are handled promptly.
- Entering, updating, and maintaining accurate information in company systems, including invoices, timesheets, project information, employee records, customer information, and other business data.
- Assisting with invoice processing, purchasing documentation, expenses, and project records.
- Coordinating meetings, schedules, documentation, follow-ups, and outstanding administrative items.
- Maintaining organized electronic and physical filing systems and supporting document control.
- Researching information and compiling data for reports, projects, meetings, and management review.
- Preparing outgoing mail, email correspondence, shipping documentation, and other communications.
- Monitoring office supplies and helping maintain an organized, professional office environment.
- Assisting with office equipment and coordinating service or technology needs.
- Supporting meetings by scheduling, preparing materials, coordinating spaces, and distributing information.
- Assisting with special projects and initiatives across departments.
- Recognizing administrative needs and taking initiative to address them before they become problems.
- Handling confidential company, employee, customer, and project information with professionalism and discretion.
- Following company policies, procedures, and safety requirements.
- Pitching in wherever needed to help the team succeed.
What We’re Looking For
You’ll be a great fit if you are someone who:
- Has 3+ years of related experience and/or training, or an equivalent combination of education and experience.
- Has previous customer service experience.
- Has experience working in an office environment.
- Brings a positive, friendly, and professional attitude to work every day.
- Is highly organized and able to manage multiple priorities.
- Has strong communication, time-management, and problem-solving skills.
- Is accurate, dependable, and committed to meeting deadlines.
- Has a strong eye for detail.
- Can work independently while also being a collaborative team player.
- Takes initiative rather than waiting to be asked.
- Looks for ways to improve processes and make the office more efficient.
