Responsibilities
- Manage and coordinate comprehensive calendars for C-suite executives, including scheduling meetings, appointments, and business travel arrangements with attention to detail and flexibility.
- Prepare, proofread, and transcribe documents, reports, presentations, and correspondence using Microsoft Office Suite and Google Workspace tools.
- Organize and facilitate company events, meetings, and conferences from planning through execution to ensure seamless experiences.
- Handle confidential information with discretion while maintaining the highest standards of professionalism.
- Assist with Human Resources functions, including onboarding new employees, maintaining personnel files, tracking employee records, benefits administration, and ensuring compliance with company policies.
- Process and coordinate payroll, including timesheet review, payroll data entry, maintaining payroll records, and working with payroll providers to ensure timely and accurate employee compensation.
- Assist with bookkeeping tasks such as expense tracking, invoice processing via DocuSign, and basic QuickBooks data entry to support financial accuracy.
- Coordinate project activities across teams by tracking deadlines, managing documentation, and ensuring timely completion of deliverables.
- Support office management duties, including filing systems, front desk responsibilities, managing multi-line phone systems, and overseeing office supplies inventory.
- Collaborate effectively with internal teams and external partners to streamline processes and enhance productivity.
- Use video conferencing software for remote meetings and ensure technical setup is flawless for presentations and virtual collaborations.
Experience
- Proven experience as an Executive Assistant or Personal Assistant supporting senior management or C-suite executives in a fast-paced environment.
- Minimum of 2–3 years of Human Resources experience, including employee onboarding, personnel documentation, benefits administration, and HR compliance.
- Experience processing payroll and working with payroll software such as Paychex, ADP, Paylocity, or similar payroll systems.
- Knowledge of federal and state employment laws, payroll regulations, and HR best practices is preferred.
- Demonstrated expertise in calendar management, travel arrangements, event planning, and project coordination.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), productivity software, and video conferencing tools.
- Skilled in handling confidential information with integrity while maintaining excellent phone etiquette and professional communication skills.
- Familiarity with bookkeeping software such as QuickBooks; experience with data entry and basic accounting procedures is preferred.
- Exceptional organizational skills with the ability to prioritize tasks efficiently while managing multiple projects simultaneously.
- Excellent written and verbal communication skills, with strong proofreading and document preparation abilities.
- Ability to maintain strict confidentiality while working with executive, employee, HR, and payroll information.
