Responsibilities
- Manage and coordinate complex calendars, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and other productivity software
- Provide executive administrative support by preparing reports, proofreading documents, transcribing recordings, and handling correspondence with precision
- Organize events, meetings, and conferences from planning stages through execution, ensuring all logistics are seamlessly managed
- Handle office management tasks such as filing, data entry, managing multi-line phone systems, front desk duties, and overseeing office supplies
- Facilitate internal communication among teams and with C-suite executives to ensure clarity and timely information flow
- Assist with bookkeeping tasks using QuickBooks or similar accounting software; support invoicing, expense tracking, and basic bookkeeping activities
- Coordinate project activities across departments, track progress, prepare status reports, and ensure deadlines are met efficiently
Skills
- Proven experience as a Personal Assistant or Executive Assistant with strong office management background
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and video conferencing tools such as Zoom or Teams
- Strong typing skills along with experience in transcription and proofreading for accuracy
- Knowledge of bookkeeping software like QuickBooks for basic financial record keeping
- Exceptional communication skills including phone etiquette and internal communication best practices
- Ability to handle confidential information discreetly while maintaining professionalism at all times
- Experience in event planning, project coordination, and managing executive calendars with attention to detail
- Technical proficiency in data entry, filing systems, office equipment operation, and working with multi-line phone systems
- Customer service orientation combined with a proactive attitude toward problem-solving and process improvement

Pay: $120,000.00 - $150,000.00 per year
