The Miami Hand Center is seeking a dedicated and professional Phone Operator to join our team. This role is an important first point of contact for patients calling our office for appointments, questions, referrals, directions, insurance-related matters, and general information.
Miami Hand Center is a specialized hand and upper extremity practice serving patients with conditions involving the hand, wrist, forearm, and upper extremity, including carpal tunnel syndrome, trigger finger, fractures, arthritis, Dupuytren’s contracture, hand injuries, and other concerns. The ideal candidate is friendly, organized, patient, and able to manage a high volume of calls while providing excellent service.
As a Phone Operator, you will help ensure that patients are answered promptly, directed correctly, and supported with a professional and caring experience from the first phone call.
Responsibilities
- Answer incoming calls promptly and professionally using a multi-line phone system.
- Serve as the first point of contact for patients, referring offices, insurance representatives, pharmacies, and other callers.
- Schedule, confirm, cancel, and reschedule patient appointments as needed.
- Direct calls accurately to the appropriate department, provider, therapist, or staff member.
- Take clear and detailed messages and route them to the correct team member in a timely manner.
- Provide callers with basic office information, including location, hours, directions, appointment requirements, and general practice information.
- Assist patients with questions related to appointments, forms, referrals, imaging, records, and next steps.
- Support communication between patients, front desk staff, medical assistants, therapists, and physicians.
- Enter and update patient information accurately in the practice management or EHR system.
- Help manage call logs, voicemails, missed calls, and follow-up call requests.
- Maintain a professional, calm, and helpful tone, especially when speaking with patients who may be in pain, frustrated, or concerned.
- Assist with administrative tasks such as scanning, filing, data entry, appointment reminders, and patient forms when needed.
- Protect patient privacy and follow HIPAA guidelines at all times.
- Support smooth daily office operations by helping keep communication organized and efficient.
Qualifications
- Prior experience as a phone operator, receptionist, front desk representative, scheduler, or administrative assistant in a medical office preferred.
- Experience in an orthopedic, hand surgery, plastic surgery, urgent care, therapy, or specialty medical office is a plus.
- Strong phone etiquette with a clear, friendly, and professional voice.
- Ability to manage multiple phone lines and handle a busy call volume.
- Excellent communication, listening, and customer service skills.
- Strong attention to detail when taking messages, scheduling appointments, and entering patient information.
- Comfortable using computers, scheduling systems, EHR systems, and basic office software.
- Ability to stay calm, patient, and professional in a fast-paced environment.
- Reliable, organized, punctual, and able to work well with a team.
- Bilingual English/Spanish preferred.
