Our growing outpatient physical therapy practice, specializing in neurologic rehabilitation, is seeking a full-time Patient Service Representative to join our dedicated front desk team. This position plays a vital role in shaping each patient’s experience — from the first phone call to their final visit.
We are looking for a detail-oriented, empathetic, and team-focused professional who thrives in a fast-paced clinical setting and takes pride in delivering exceptional customer service.
Key Responsibilities
- Serve as the first point of contact for patients — in person and over a multi-line phone system — providing a welcoming, professional, and compassionate experience.
- Manage appointment scheduling efficiently for multiple providers while maintaining attention to detail.
- Assist with insurance verification, authorizations, and coordination of care.
- Maintain and update patient records accurately in accordance with HIPAA and practice standards.
- Support the clinical team through administrative duties including scanning, faxing, and data entry.
- Monitor and restock office supplies; communicate facility or equipment needs.
- Collaborate positively with team members to maintain a supportive and professional front office environment.
Preferred Qualifications
- Demonstrated ability to multi-task and prioritize in a busy outpatient setting.
- Strong interpersonal and communication skills, with the ability to work collaboratively and resolve conflict constructively.
- Working primarily at our Kenmore Office, but may need to float to Orchard Park and Williamsville as needed.
- Basic computer proficiency; experience with Microsoft Word, Outlook, and EMR systems preferred.
- High school diploma (required); post-secondary coursework or healthcare office experience a plus.
- Prior experience in a rehabilitation or medical front office strongly preferred.
