Purchasing Manager

Position Summary
We are seeking a highly organized, trustworthy, and detail-oriented Purchasing Manager to oversee the procurement of materials, equipment, tools, and supplies necessary to support our operations. The ideal candidate will have strong experience in purchasing, vendor management, accounting support, billing processes, inventory control, and warehouse coordination.
This role requires exceptional communication skills, financial awareness, and the ability to build and maintain strong relationships with vendors while ensuring cost-effective purchasing decisions. The Purchasing Manager will play a critical role in maintaining operational efficiency, controlling costs, and supporting multiple departments through accurate procurement and inventory management.
Key Responsibilities Purchasing & Procurement
- Source, negotiate, and purchase materials, equipment, tools, and supplies.
- Obtain competitive pricing and evaluate vendor proposals.
- Create, issue, and track purchase orders.
- Monitor inventory levels and forecast purchasing needs.
- Ensure timely delivery of purchased materials and resolve supply chain issues.
- Research alternative suppliers to improve pricing, quality, and service.
- Maintain accurate records of purchases, pricing, contracts, and vendor agreements.
- Identify cost-saving opportunities without compromising quality or operational requirements.
Vendor Management
- Develop and maintain strong relationships with vendors and suppliers.
- Evaluate vendor performance, pricing, delivery schedules, and service quality.
- Negotiate contracts, pricing agreements, and payment terms.
- Resolve vendor disputes, discrepancies, and service issues professionally.
- Maintain an approved vendor database and ensure vendor compliance requirements are met.
Accounting & Billing Support
- Review vendor invoices for accuracy and proper coding.
- Match purchase orders, packing slips, and invoices.
- Assist with accounts payable processes and payment tracking.
- Reconcile vendor statements and resolve billing discrepancies.
- Support month-end and year-end accounting processes.
- Monitor purchasing budgets and provide cost analysis reports.
- Maintain detailed financial records and documentation.
Inventory & Warehouse Coordination
- Monitor inventory levels and coordinate replenishment.
- Conduct inventory audits and cycle counts.
- Ensure proper storage and organization of materials and equipment.
- Coordinate incoming and outgoing shipments with warehouse personnel.
- Work closely with warehouse staff to maintain accurate inventory records.
- Track and report inventory usage trends.
Administrative & Organizational Duties
- Maintain organized purchasing files, contracts, and documentation.
- Generate purchasing, inventory, and cost reports.
- Coordinate with Project Managers, Operations, Accounting, and Field Teams.
- Ensure compliance with company policies and purchasing procedures.
- Support operational planning and resource allocation initiatives.
Qualifications Required
- 3+ years of experience in Purchasing, Procurement, Supply Chain, or Inventory Management.
- Strong knowledge of vendor management and purchasing processes.
- Experience reviewing invoices, billing, and accounting-related documentation.
- Proficiency with Microsoft Office Suite, particularly Excel.
- Excellent organizational and record-keeping skills.
- Strong written and verbal communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- High level of professionalism, integrity, and confidentiality.
Preferred
- Experience in construction, scaffolding, industrial, manufacturing, or warehouse environments.
- Knowledge of inventory management systems and ERP software.
- Understanding of accounts payable and accounting principles.
- Experience negotiating contracts and vendor agreements.
