ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Serves as assistant to the Executive Director of Special Education with daily responsibilities such as telephone communications, contact with visitors, correspondence, and scheduling appointments and department meetings.
2. Responsible for gathering reports and documents for review and use in developing and/or in preparation for mediation or hearings. Maintains online legal folders.
3. Serves as liaison between Executive Director, Directors, Program Coordinators, Instructional Specialists, campus personnel, administrative assistants, and Richard A. Middleton Education Center (RAMEC) personnel in all departments as needed.
4. Screens all incoming calls from patrons or school personnel for the Executive Director and handles appropriately.
5. Regulates the flow of communication between entities (patrons, executive director, and appropriate staff).
6. Maintains appointment calendar for the Executive Director.
7. Serves as recording secretary for department meetings as requested by the Executive Director.
8. Reserves meeting rooms as directed by the Executive Director.
9. Keeps track of absences for special education staff and enters punch changes for paraprofessional staff on a weekly basis.
10. Maintains job descriptions and updates as needed.
11. Coordinates with RAMEC hiring managers to submit new job postings, scheduling interviews, and maintaining interview files.
12. Enters new hire/change of assignment and location changes for LSSP’s/Educational Diagnostician’s/SLP’s/APE’s/OT’s and PT’s.
13. Enters stipend assignments for SLP's/ SLPA's,/APE’s/OT’s and PT’s.
14. Registers high school students for summer school courses when tuition is funded through Special Education.
15. Inputs tuition assistance code in student system when summer school tuition is funded thorough Special Education for middle school and elementary school students.
16. Updates departmental documents, lists and forms as needed.
17. Schedules departmental events.
18. Serves as Notary Public.
19. Serves as departmental United Way Coordinator.
20. Orders business cards, name plates, parking permits, and microprox tags as needed for relevant staff.
21. Projects a positive image that supports the school district while diffusing angry parents and patrons, both walk-ins and phone calls, usually redirecting them to appropriate staff.
22. Participates in problem solving in crisis situations as they arise.
23. Maintains confidentiality of information.
24. Reports to work on time every day.
25. Performs additional duties and responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS:
• Ability to adjust and be flexible to a multitude of situations as they occur
- Ability to speak effectively before groups of customers or employees of an organization
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form
- Demonstrate an above average degree of communication (verbal and written), analyzing, interpretative skills, understanding verbal instructions, reading, instructing and emotional control
- Average skills are required in concentration, memorizing, and coordinating
- Moderate skills are required in compiling and computing
- Valid Texas Driver’s License with driving record that meets the requirements of the District

WORK ENVIRONMENT:
The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
