DEPARTMENT PURPOSE: The Volunteer Engagement function exists to build meaningful connections between alumni, donors, and Oklahoma State University through volunteer service that advances philanthropy, advocacy and engagement.
PRIMARY PURPOSE: The Oklahoma State University Foundation seeks an organized, self-motivated student with a high level of professionalism to support volunteer engagement, stewardship, donor experiences, and administrative coordination across multiple volunteer programs and initiatives. This role provides hands-on experience in nonprofit administration, event planning, volunteer management, and higher education fundraising.
This position will require working ideally 15 hours per week. Work schedule is flexible, mostly between the hours of 8:30am – 5pm, Monday through Friday. Occasional evening or weekend hours may be requested for event support but not required. Looking for position to be filled immediately for the FY26-27 school year with the opportunity to continue in the summer and beyond.
KEY AREAS OF FOCUS:
Volunteer Engagement Administration & Operations
- Assist with planning and execution of Women for OSU Council meetings, including preparation of agendas, presentations, meeting materials, correspondence, volunteer communications, attendee logistics, and follow-up activities. Work closely with the Director to coordinate details before, during, and after meetings to ensure a seamless volunteer experience. Assist with preparing nomination materials and bios for Council members.
- Assist with logistics for volunteer-related events such as the Women for OSU Symposium, tailgate, regional events, and retreats.
- Support the management of the Women for OSU Symposium sponsorship program by maintaining sponsorship records, tracking commitments, renewals, invoices, and approvals, coordinating sponsor communications and materials, and partnering with the Events team to ensure timely fulfillment of sponsor benefits and event-related logistics. Assist with data entry, research, correspondence, and special projects related to volunteer engagement initiatives.
- Coordinate retreat planning, including RSVPs, correspondence, location confirmation, activities, food reservations, and logistics.
- Manage the WOSU e-mail inbox ensuring a prompt response to inquiries.
Engagement and Stewardship
- Partner with MDX team to create quarterly Council e-newsletters and maintain the Council roster and directory.
- Manage inventory for WOSU gifts and marketing materials.
- Prepare birthday cards, send flowers, and assemble welcome baskets for POY, speakers, and emcees, including hostess gifts and roll-off gifts.
- Support donor referral and stewardship tracking activities as needed.
Volunteer Engagement Event Support
- Assist with day-of event execution, attendee check-in, set-up, and troubleshooting.
- Assemble name tags, prepare seating materials, and organize supplies.
- Provide on-site support during events.
Other Duties as assigned.
JOB COMPETENCIES AND EXPERIENCE:
Education & Certifications:
- Oklahoma State University student in good standing with the university. Pursuing a degree in non-profit management, marketing, business, communications, or related fields preferred, but not required.
Experience:
- Experience in customer service or related experience interacting with the public preferred
- Experience in writing preferred
- Proficiency in Microsoft Office products
Organizational Competencies:
- Excellent oral and written communication skills
- Ability to multi-task and meet deadlines with little supervision
- Knowledge of correct English usage, spelling, grammar, etc.; modern office methods and procedures; and equipment and filing systems
- Ability to interact and collaborate with fellow team members, campus partners and OSU students
PHYSICAL REQUIREMENTS: Ability to communicate effectively in person, by phone, and via video conferencing. Requires frequent repetitive motions when operating computers, telephones, and standard office equipment. Ability to sit or stand for extended periods while working at a computer or attending meetings. Ability to lift, carry, push, or pull materials weighing up to approximately 20 pounds.
