SUMMARY: The Project Coordinator II provides administrative, procedural, and systems support to ensure accuracy, timely execution, and successful progression of assigned projects. This role supports execution, tracking, and documentation throughout the lifecycle of the project. This is an on-site role, with our office being located in Escondido, California.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Project Support & Execution
- Provide day to day administrative and operational support to assigned projects
- Track project milestones, schedules, and task completion to support adherence to established timelines and KPIs
- Monitor project status and proactively identify missing information, risks, or delays for escalation to the Project Lead
- Act as a support resource to ensure project continuity throughout project lifecycle and departments
- Complete general and additional tasks as needed to support company operations.
Documentation & Systems Management
- Prepare, submit, and maintain accurate project documentation including contracts, change orders, permits, lease agreements, rebates, and utility paperwork
- Ensure all project activity, documentation, and milestone updates are accurately entered and maintained within designated project management systems
- Maintain organized electronic project files to support reporting, audits, and project closeout
Internal Coordination
- Coordinate with internal teams (Sales, Engineering, Permitting, Scheduling, Installations, Service, Finance) to gather required inputs and support task completion
- Support jurisdictional, utility, and financing requirements through accurate submittal tracking and follow up
- Communicate routine internal project updates to the Project Lead and relevant stakeholders
Utility, Leasing & Compliance Support
- Submit, track, and manage utility applications and Permission to Operate (PTO) status
- Track leasing milestones and financing timelines to ensure contractual and funding requirements are met
- Submit, track, and manage jurisdictional requirements, inspections, and applicable rebates until completion
Technical & Closeout Support
- Support monitoring portal setup and system configuration activities to assist with system energization when required
- Assist with project closeout documentation and confirmation of completion milestones
Training, Process & SOP Ownership
- Train and support Project Administrators on tools, processes, and expectations
- Develop, document, and maintain Standard Operating Procedures (SOPs) for assigned responsibilities to support consistency and scalability
- Provide and present opportunities for process improvement, efficacy and improved project timelines
Key 30, 60, 90 Day Accomplishments
- First 30: Familiarize self with BHE processes and timelines, be able to work independently on multiple projects
- First 60: Manage workflow, tasking, coordination and administration effectively
- First 90: Fully trained, proficient in all assigned responsibilities, able to efficiently manage workload
EXPERIENCE, EDUCATION:
- High school diploma or general education degree (GED) is required, some college preferred
- 2+ years of project coordination or management experience in solar industry
- Proven experience leading the coordination of multiple projects with success.
- Advanced proficiency with Microsoft Office applications (Outlook, Excel, Word, Teams, PowerPoint) and strong overall computer literacy.
- Self-starter with the ability to work independently and manage competing priorities.
- Highly detail-oriented with strong organizational and follow-through skills.
- Comfortable leading meetings, facilitating discussions, and driving action items to completion.
- Strong verbal and written communication skills.
- Ability to learn quickly in a fast-paced, project-driven environment.

PAY TRANSPARENCY:
The starting salary for this opportunity range is listed. Other rewards may include annual bonus eligibility, which is based on company and individual performance, short- and long-term incentives, and program-specific awards.
