Job Summary
Q & A Heating and Cooling LLC is seeking a professional, organized, and customer-focused Administrative Assistant to support our growing HVAC business. This part-time position is ideal for someone with strong office experience who enjoys providing exceptional customer service and helping keep daily operations running smoothly.
The ideal candidate will be dependable, detail-oriented, and capable of managing multiple tasks in a fast-paced office environment.
Responsibilities
- Answer incoming phone calls and provide excellent customer service
- Schedule HVAC service calls, preventive maintenance, and installations
- Dispatch technicians and coordinate daily schedules
- Create and maintain customer accounts
- Prepare estimates, invoices, and work orders
- Process customer payments and maintain accurate records
- Monitor and respond to emails and online customer inquiries
- Follow up with customers regarding estimates, completed work, and maintenance agreements
- Maintain filing systems and office records
- Order office supplies and assist with inventory
- Assist with accounts receivable and payment collections
- Support marketing efforts by responding to customer reviews and social media inquiries
- Perform other administrative duties as assigned
Minimum Qualifications
- At least 1 year of office or administrative experience (required)
- High school diploma or equivalent
- Excellent customer service and communication skills
- Strong organizational and multitasking abilities
- Professional phone etiquette
- Proficiency with Microsoft Word, Excel, Outlook, and email
- Reliable transportation and dependable attendance
Preferred Qualifications
- Experience in the HVAC, plumbing, electrical, construction, or home service industry
- Experience scheduling and dispatching service technicians
- Experience with QuickBooks
- Experience with ServiceTitan, Housecall Pro, FieldEdge, or similar field service software
- Ability to learn new software quickly
