ABOUT PROKIDS
ProKids is a nonprofit agency that provides outstanding volunteer advocacy for abused and neglected children in Hamilton County, who through no fault of their own, are in the child protection system. We recruit, train, and support CASA Volunteers to provide a powerful voice to these children.
Children assigned to a CASA Volunteer are successful. A national study shows that children with CASA volunteers spend less time in long-term foster care and move less often. At ProKids, our Outcome Measures demonstrate the effectiveness of CASA Volunteers.
POSITION SUMMARY
Manages the agency's CASAManager database, ensuring data integrity, user support, and effective system administration. Leads the development and maintenance of agency dashboards and reporting tools that provide timely insights into case outcomes, volunteer engagement, and organizational performance. Partners with operational leaders to analyze data, identify trends, evaluate program effectiveness, and translate complex information into actionable recommendations that support strategic decision-making. Supports the Impact & Innovation Team in advancing data-informed practices across the organization.
LOCATION
This position will be hybrid with a minimum of 1 day per week required to be in the office, as well as for team and staff meetings and ProKids events and trainings. Other in-office days may be required based on the position and will be determined by the supervisor. ProKids office hours are Monday through Friday 8:30 am to 4:30 pm.

PAY
Starting at $62,000 annually based on a 35-hour work week.
SPECIFIC DUTIES AND RESPONSIBILITIES
Database Administration
- Serves as the agency administrator for the CASAManager database.
- Provides ongoing training and technical support to staff and volunteers using the database.
- Troubleshoots database issues and collaborates with vendors to resolve technical concerns.
- Develops and maintains database policies, procedures, documentation, and standard operating practices.
- Ensures data integrity through routine audits, quality assurance activities, and validation processes.
- Partners with operational teams to improve data collection practices and promote consistent data entry.
Dashboarding & Reporting
- Develops, maintains, and enhances strategic and operational dashboards using Tableau, PowerBI or similar business intelligence tools.
- Designs reports that monitor agency performance, volunteer engagement, child outcomes, fundraising support, and operational effectiveness.
- Works with leaders across departments to identify reporting needs and automate recurring reports whenever possible.
- Creates visualizations that make complex information accessible and actionable for agency leadership, staff, and board members.
- Supports agency planning by ensuring leadership has timely access to reliable performance metrics.
Data Analytics & Operational Insights
- Conducts analyses related to child outcomes, case progression, volunteer recruitment, volunteer retention, workload, and agency operations.
- Identifies trends, patterns, risks, and opportunities within operational data to support continuous improvement.
- Collaborates with operational leaders to evaluate program effectiveness and measure progress toward strategic goals.
- Assists in developing key performance indicators (KPIs) and outcome measures across agency functions.
- Produces analytical reports and presentations that communicate findings and recommendations to leadership.
- Supports forecasting, benchmarking, and predictive analyses that inform organizational planning and resource allocation.
- Performs ad hoc analyses requested by leadership to support strategic initiatives and operational decision-making.
GENERAL PROKIDS DUTIES AND RESPONSIBILITIES
· Assists with the setting and evaluation of all agency goals and objectives with primary focus on the Operational Team impact of each goal or objective.
· Acquires and maintains a working knowledge of other team’s programs and practices to encourage good communication and collaboration.
· Benchmarks with other CASA programs and organizations for best and leading practices.
· Ensures the effective representation of ProKids to external organizations and individuals.
· Communicates the need for volunteers and provides assistance in designing and implementing volunteer training. Supervises, manages, supports, evaluates, and communicates on-going status of volunteers.
· Performs duties in accordance with ProKids objectives, values and in compliance with relevant standards and agency commitments.
· Attends all staff meetings and establishes good teamwork with co-workers.
· Ensures common office spaces are ready for the next person, maintained, and stocked with essential supplies. Notifies Business Operations of maintenance and supply needs.
· Ensures commitment to and the practice of diversity, equity, and inclusion principles embraced by ProKids.
· Other duties as assigned by supervisor.
JOB REQUIREMENTS
· Bachelor’s Degree
· Excellent verbal and written communication skills
· Excellent time management skills, organized, efficient and able to multi-task
· Proficient with Microsoft 365.
· Preferred experience with Tableau and previous experience analyzing large data sets.
· Familiarity with child and family welfare issues and non-profits is preferred but not required
· Reliable transportation
