Vantage CFO is seeking a detail-oriented Freight Accounts Payable Clerk to join our shared services accounting team in support of Boost Transport, a leading third-party logistics (3PL) provider.
This position is responsible for processing carrier invoices, auditing freight bills, coordinating carrier payments, supporting freight billing activities, and assisting with accounts receivable functions. Working closely with the Accounting Supervisor and Operations team, this individual will help ensure the accuracy and efficiency of transportation accounting processes while providing accounting support to Boost Transportation through Vantage CFO's shared services model.
The ideal candidate is organized, analytical, and comfortable working in a fast-paced transportation environment where attention to detail and accuracy are essential.
Essential ResponsibilitiesAccounts Payable
- Audit carrier invoices against Bills of Lading (BOLs), Proofs of Delivery (PODs), rate confirmations, and load documentation for accuracy.
- Verify freight charges, accessorial fees, and payment terms prior to processing.
- Investigate invoice discrepancies including:
- Rate mismatches
- Duplicate invoices
- Missing documentation
- Short payments
- Incorrect payee information
- Process weekly carrier payments through ACH, checks, and electronic payment platforms.
- Monitor payment exceptions and resolve rejected or held transactions promptly.
- Maintain accurate payment records and supporting documentation.
Factoring & Carrier Payment Support
- Communicate with freight factoring companies regarding payment status and Notice of Assignment (NOA) documentation.
- Verify carrier payment instructions before releasing payments.
- Maintain accurate carrier payee information within company systems.
- Reconcile factoring remittances with accounts payable records to prevent duplicate payments and payment disputes.
Accounts Receivable Support
- Assist with customer invoicing and billing accuracy.
- Support payment reconciliation and aging reports.
- Work with Operations and Customer Service to resolve billing questions and freight documentation issues.
- Assist with collections and customer payment follow-up as needed.
Freight Documentation
- Maintain Bills of Lading (BOLs), PODs, rate confirmations, carrier contracts, and freight documentation.
- Update carrier information and freight records within the Transportation Management System (TMS).
- Ensure documentation is complete before processing invoices and payments.
Freight Claims
- Process and track freight claims submitted by Operations and Customer Service.
- Coordinate with carriers and insurance representatives regarding claim status and resolution.
Reporting
- Assist with weekly and monthly reporting related to:
- Accounts Payable Aging
- Accounts Receivable Aging
- Carrier payment activity
- Factoring activity
- Billing discrepancies
- Review parcel and LTL billing reports to identify billing errors and unnecessary transportation expenses.
Additional Responsibilities
- Support carrier onboarding by maintaining required documentation.
- Assist with transportation accounting projects as assigned.
- Perform other accounting and administrative duties as needed.
QualificationsRequired
- Associate's or Bachelor's degree in Accounting, Finance, Business, Supply Chain, or related field, or equivalent work experience.
- 2+ years of experience in:
- Accounts Payable
- Transportation Billing
- Freight Audit
- Logistics Accounting
- Transportation Operations
- Strong Microsoft Excel skills, including sorting, filtering, formulas, VLOOKUP/XLOOKUP, and PivotTables.
- Excellent attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Ability to prioritize multiple tasks while maintaining a high level of accuracy.
Preferred
- Experience in a freight brokerage, logistics, or third-party logistics (3PL) environment.
- Knowledge of freight billing, carrier settlements, and transportation documentation.
- Familiarity with factoring companies and Notice of Assignment (NOA) processes.
- Experience using Transportation Management Systems (TMS) and accounting software.
- Understanding of LTL and Full Truckload freight documentation.
Pay: $50,000.00 - $60,000.00 per year
