Job Summary
We are seeking a highly organized and proactive Executive Assistant to join our dynamic team. This role is essential in providing comprehensive administrative support to senior management, ensuring smooth daily operations and effective communication across departments. The ideal candidate will demonstrate exceptional office management skills, technical proficiency, and the ability to handle multiple priorities with professionalism and discretion.
Responsibilities
- Completes a broad variety of administrative tasks for the President/CEO, CFO, and other leaders of the company including:
- managing active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings, coordination and storage of legal documents
- Will coordinate, compile and produce PowerPoint presentations for meetings. Primarily coordination.
- Provides a bridge for smooth communication between the President's and CFO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings.
- Facilitates cross-divisional coordination of travel and outreach plans.
- Maintains and updates legal library, ensures reviews/renewals are being done.
- Prepares and provides refreshments for executive meetings with visitors or customers.
Qualifications
- Bachelor’s Degree (strongly preferred) or equivalent working experience.
- Strong work tenure: at least 2-3 years of experience supporting C-Level Executives, preferably in a manufacturing/ engineering or technology industry.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills with the ability to build relationships with internal and external constituents.
- Expert level written and verbal communication skills.
- Advanced administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Forward looking thinker, who actively seeks opportunities and proposes solutions.
- Knowledge of ERP and CRM systems is a plus.
Pay: $70,000.00 - $80,000.00 per year
