Job Description
The Administrative Assistant role requires exceptional attention to detail, strong organizational and time management skills, and the ability to manage multiple recurring tasks with consistency and accuracy. The Administrative Assistant will support the four different departments within EPI’s Operations team (Member Experience, Fulfillment, Product Development, and Internal Ops) by helping coordinate department projects, maintaining operational documentation, keeping up to date with customer follow up, and providing day-to-day administrative support across the Operations team.
The ideal candidate is dependable, proactive, highly organized, and eager to learn. They enjoy working behind the scenes to keep projects moving, thrive in a fast-paced environment, and are willing to jump in wherever support is needed. This position reports to the Senior Director of Operations and collaborates closely with all members of the Operations team to help ensure the successful execution of EPI's initiatives.
Key responsibilities and duties:
Team & Administrative Assistance
- Support scheduling, internal communication, and meeting preparation.
- Assist with documentation, follow-ups, and general administrative tasks as needed.
- Jump in to support team projects and day-to-day execution based on department priorities.
Operations Support
- Support with projects, and cross-functional initiatives.
- Maintain the Operations Project Hub, timelines, and operational documentation.
- Track deadlines, action items, and project progress.
- Assist with developing and maintaining SOPs, templates, and operational processes.
- Support reporting, project updates, and process improvements, including AI and automation initiatives.
- Organize files and respond to internal/external department requests.
- Proofread materials for accuracy, quality, and brand consistency.
Vendor & Administrative Support
- Coordinate communication with external vendors.
- Assist with purchase requests, invoices, shipping, and vendor documentation.
- Maintain organized records of vendors, contracts, and resources.
- Support meeting coordination, agendas, and action items.
Position qualifications and skills:
- 1–2 years of experience in an administrative support role.
- Strong organizational, project coordination, and time management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent proofreading, editing, and attention to detail, with a commitment to quality and brand consistency.
- Strong written, verbal, and interpersonal communication skills.
- Proficient in Microsoft Office, Google Workspace, and comfortable learning new platforms, project management software, AI tools, and technology.
- Familiarity with project management platforms such as Teamwork.com or similar platforms.
- Strong problem-solving skills with a proactive mindset and a desire to improve processes.
- Ability to work independently and collaboratively with cross-functional teams.
- Comfortable organizing digital files, maintaining documentation, and managing shared resources.
- Flexible, dependable, eager to learn, and willing to support evolving team priorities.
Other Position Information:
- Hours: Monday – Friday 8am – 5pm
- This is a hybrid, full-time position
- Monday and Tuesday in office, Wednesday-Friday optional work from home. Subject to change based on department events or needs.
- Salary Range: $42,500-47,500
- Upon 90 Days in the full-time position:
- Enroll in the EPI Insurance Program (Health, Vision, and Dental all available)
- Enroll in the EPI 401k Program
- Utilize EPI’s Unlimited Paid Time Off Policy
