As our organization continues to grow, we are seeking a motivated and detail-oriented Sales Administrative Assistant to support our expanding Sales Team and contribute to our commitment to exceptional customer service and technology solutions.
Position Overview
The Sales Administrative Assistant provides operational and administrative support to the Sales Team by managing quotations, maintaining CRM data, coordinating trade show activities, and assisting with customer communications. This role plays a key part in ensuring efficient sales operations and supporting the overall success of the team.
Reporting To: Director of Sales
Key Responsibilities
- Prepare customer quotations and manage order checklists following quote approvals.
- Create and maintain customer accounts within the ERP system, including account notes and system updates.
- Maintain and update CRM records, including weekly archival of outdated quotations.
- Coordinate with Field Operations to monitor installation progress and prepare Field Service Request documentation.
- Assist with trade show planning, scheduling, logistics, and event coordination.
- Prepare quarterly customer review reports and maintain standardized email communication templates.
- Conduct market and industry research to identify emerging brands, trends, and sales opportunities.
- Route non-sales customer service inquiries to the appropriate internal departments.
- Maintain a working knowledge of R.F. Technologies’ products and services to support accurate customer communication.
Qualifications
Preferred Skills & Experience
- Excellent verbal and written communication skills with a strong customer-service mindset.
- Strong organizational and time-management abilities with the capability to manage multiple priorities simultaneously.
- Detail-oriented with the ability to adapt in a fast-paced environment.
- Proficient in Google Workspace (Docs, Sheets, Gmail) and Microsoft Office applications.
- Comfortable learning and utilizing new software platforms and business systems.
- Ability to work independently while also collaborating effectively within a team environment.
