J3 Management Group is seeking a dependable, organized, and detail-oriented Registration Team Lead to oversee and support the daily operations of the vehicle registration department. This role combines hands on registration processing with team leadership responsibilities to ensure accuracy, efficiency, and consistent performance across the department. The Registration Lead will oversee workflow, monitor team productivity, maintain documentation, and ensure all registration related processes are completed accurately and on time. The ideal candidate is proactive, highly organized, and comfortable working in a fast paced, team-driven environment while managing operational priorities and staff performance.
Key Responsibilities:
Department Operations
- Oversee daily title, vehicle registration and state changes operational processes to ensure tasks are completed accurately and efficiently.
- Monitor and respond to all registration-related emails and delegate urgent requests when necessary.
- Ensure all required reports and documentation are uploaded and maintained in internal systems.
- Review outstanding task lists and follow up on pending assessments, waivers, and other required documentation.
- Maintain logs of notarized work and ensure timely processing.
- Track and report daily incoming work volume and workload distribution.
- Assist with preparing, reviewing, and mailing registration documents.
Leadership
- Lead and conduct meetings to align the team on goals, priorities, and updates.
- Monitor staff performance and ensure team members meet their Key Performance Indicators (KPIs).
- Provide guidance, support, and training to registration staff when needed.
- Conduct monthly one-on-one meetings with team members and document progress and feedback.
- Communicate with upper management regarding departmental updates, priorities, and concerns.
- Coordinate with other department leads to ensure smooth workflow and collaboration.
Quality Control & Compliance
- Review staff work to ensure accuracy, completeness, and adherence to procedures.
- Ensure all required client calls are completed and documented.
- Attend client meetings to review outstanding work and address any questions.
- Confirm that all required documents are mailed and processed in a timely manner.
- Maintain proper recordkeeping and documentation standards.
- Retain documentation related to operations, workflow tracking, and staff performance.
- Maintain compliance with company policies regarding document security and confidentiality.
Required Qualifications
- High school diploma or equivalent
- Prior supervisory or team lead experience
- Previous experience in multi-state title and vehicle registration and state transfers
- Preferred 2+ years of experience in vehicle registration
- Experience with workflow systems
