Job Title: Assistant Shop Service Coordinator

Position Summary
The Assistant Shop Service Coordinator plays a key role in supporting the daily operations of the shop by serving as a critical link between customers and internal shop teams. This position is responsible for receiving, dispatching, estimating, quoting, scheduling, and monitoring the progress of customer repair work. In addition, the role supports material procurement, maintains service records, and helps uphold a high level of customer satisfaction.
Key Responsibilities
Customer Service & Work Coordination
- Receive and check in customer equipment for service or repair; accurately document issues and job requirements.
- Dispatch service work to the appropriate department or technician and monitor job progress through completion.
- Prepare estimates and quotes for service jobs based on scope, labor, and materials.
- Communicate job status updates, scheduling details, and completions to customers in a timely manner.
- Address and help resolve customer concerns or complaints with professionalism and urgency.
Administrative & Operational Support
- Generate work orders and maintain accurate records of service jobs.
- Assist with ordering repair parts, materials, and subcontracted services as needed.
- Maintain organized manual and digital filing systems for work orders, purchase orders, and customer correspondence.
- Provide backlog and job status reports to the Shop Service Coordinator and management team.
Shop & Vendor Coordination
- Collaborate with Shop Operations Manager, supervisors, and technicians to ensure smooth workflow and timely job completion.
- Support warehouse activities, including inventory tracking, material handling, and supply restocking.
- Foster positive relationships with vendors and suppliers to support quality and timely procurement.
Safety & Equipment Handling
- Attend ongoing training in safety procedures, product updates, and job-specific skills.
- Assist with receiving and dispatching work using appropriate lifting and rigging practices.
- Operate equipment safely, including:
- Forklifts
- Overhead hoists and cranes
- Rigging and material handling equipment
- Must be able to lift up to 70 pounds.
Qualifications
- 1–3 years of experience in a customer service, coordination, or shop support role.
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office and basic business software (e.g., Excel, Outlook).
- Forklift certification or willingness to obtain one.
- Ability to work in a fast-paced, team-oriented environment.
- Must have a valid Drivers License
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
