About the Position
We are seeking an experienced Lease & Transactions Manager to manage commercial lease transactions across our portfolio — from initial deal terms through execution and tenant onboarding, while also supporting broader leasing, administration, and marketing operations across PLC's commercial portfolio.
This role combines full management of the lease transaction process — from LOI negotiation through lease execution and amendment — with lease administration, transaction coordination, critical-date tracking, and marketing/listings management. The ideal candidate has experience negotiating and reviewing commercial leases and LOIs, coordinating lease execution, and ensuring lease information and marketing materials remain accurate and up to date.
The Lease & Transactions Manager will work closely with brokers, tenants, ownership, and internal Accounting and Construction/Property Management teams, managing multiple deals independently from first term sheet to signed lease. The right candidate is detail-oriented, deadline-driven, and comfortable managing the transaction process end to end while also maintaining accurate leasing data across the portfolio.

What You’ll Do
Lease Transaction Management
· Manage the full lifecycle of commercial lease transactions, from LOI negotiation through lease execution and amendment, for office, retail, and mixed-use assets
· Review and negotiate lease terms, amendments, and renewals in coordination with ownership, legal counsel, and brokers
· Draft, prepare, and coordinate leases, amendments, renewals, notices, and related leasing documents
· Coordinate execution of lease documents and ensure all required signatures, exhibits, insurance certificates, and approvals are completed
· Maintain accurate lease abstracts, critical-date tracking, and rent roll data across the portfolio
· Coordinate due diligence, estoppels, and lease-related documentation for financing, refinancing, and acquisition activity
· Maintain leasing reports and track deal pipeline, occupancy, leasing velocity, key dates, renewals, and rent escalations, reporting to ownership on a recurring basis
· Serve as the primary point of contact for listing brokers and prospective tenants on active deals
· Coordinate tenant onboarding and prepare tenant welcome communications following lease execution
Process Ownership
· Maintain the leasing function’s SOPs, templates, and document standards, ensuring consistency across all executed leases
· Conduct quality-control review of lease abstracts, tenant files, and transaction records before they are finalized
· Identify opportunities to improve leasing workflows, operational efficiency, and reporting accuracy, and lead their implementation
· Assist with creating and documenting leasing procedures and operational processes
Cross-Functional Coordination
· Partner with Accounting and property management to ensure lease terms are correctly reflected in billing, CAM reconciliations, and tenant setup
· Coordinate with Construction/Property Management on tenant improvement scope tied to new and renewing leases
· Support investor and lender reporting with accurate, up-to-date leasing and occupancy data
· Work closely with property managers, the leasing team, accounting, and marketing/design partners on shared priorities
· Coordinate with third-party vendors and brokers for leasing and marketing deliverables
· Respond to inbound leasing inquiries and route leads to appropriate team members
Marketing & Listings Management
· Update and maintain the PLC website
· Cross-reference internal vacancy tracking (Google Sheets) to ensure all availabilities are accurately listed
· Manage listings across platforms including LoopNet, Crexi, Facebook Marketplace, and Craigslist
· Ensure each listing is accurate and includes current brochures, photography, floorplans, and property details
· Coordinate with internal teams and external partners to produce updated marketing materials and offering packages
· Assist with brochure updates and ensure consistency across all marketing channels
Leasing Operations & Reporting
· Generate leasing, vacancy, and transaction reports for internal teams and ownership
· Update and manage lease data, including rent schedules, tenant information, availability, and critical lease terms
· Proactively track upcoming lease expirations and flag renewal opportunities
· Support legal and compliance-related leasing documentation
· Assist with budgeting support, rent roll verification, and operational audits
· Organize and maintain digital lease files and transaction documentation
· Support additional acquisition, financing, and due diligence requests as needed
Team Support
· Support ongoing leasing initiatives and ensure timely execution of priorities
· Assist with special projects and portfolio initiatives as needed
About You
You’ve spent years in commercial leasing and know how to take a deal from first term sheet to signed lease without losing track of a single date or clause. You think in critical dates and lease abstracts, communicate clearly with brokers and tenants, and want a role where you manage the transaction process end to end.
You are also detail-oriented, highly organized, and comfortable managing multiple priorities simultaneously — understanding the importance of speed and accuracy across both deal execution and day-to-day leasing operations. You bring a strong sense of urgency and approach your work with a positive, team-first attitude.
What You Bring
· 5+ years of experience in commercial real estate leasing, transaction management, lease administration, or real estate operations
· Strong working knowledge of commercial lease structures, LOIs, amendments, and standard lease clauses
· Experience reviewing and negotiating commercial leases, amendments, contracts, and LOIs
· Proficiency with leasing and listing platforms (e.g., LoopNet, Crexi) and lease abstraction/tracking tools
· Excellent organizational skills and high attention to detail, with the ability to manage multiple deals and deadlines concurrently
· Strong written and verbal communication skills, comfortable interfacing directly with brokers, tenants, and ownership
· Proficiency in Microsoft Office and Google Workspace
· Experience with lease administration or property management software is a plus
· Bachelor’s degree in real estate, business, finance, or a related field preferred; equivalent experience considered
· Valid California driver’s license preferred; role requires periodic site visits to property locations across the portfolio
Compensation: base salary $90,000 – $120,000
(Compensation dependent on experience and qualifications)
