We are seeking a highly organized and proactive Office Manager/Bookkeeper to join our dynamic team. Responsibilities
- Oversee daily office operations, including managing multi-line phone systems, front desk duties, and customer service interactions.
- Maintain organized filing systems, handle data entry, and perform clerical tasks with accuracy.
- Manage calendar scheduling, appointments, and coordinate meetings to optimize productivity.
- Utilize QuickBooks and other productivity software to perform bookkeeping duties such as invoicing, expense tracking, and bank reconciliations.
- Handle client communication via phone and email with professionalism and courtesy, ensuring excellent customer support.
- Prepare reports using spreadsheets and Microsoft Office tools; proofread documents for accuracy.
- Manage office supplies inventory, coordinate maintenance needs, and ensure a well-functioning work environment.
- Support administrative functions including document processing, proofreading, and filing.
- Assist with personal assistant tasks as needed to support team members’ schedules.
- Maintain confidentiality of sensitive information related to financial records and client data.
- Use Google Workspace applications for collaboration and document management.
Skills
- Proficiency in QuickBooks Online accounting software; previous bookkeeping experience is essential.
- Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Excellent organizational skills with the ability to multitask effectively in a busy office setting.
- Demonstrated experience in office management, clerical work, and administrative support.
- Exceptional phone etiquette with experience handling multi-line phone systems and front desk responsibilities.
- Bilingual abilities are preferred to serve diverse client needs effectively.
- Skilled in data entry, proofreading, filing, and maintaining accurate records.
- Effective client communication skills coupled with a professional demeanor.
- Knowledge of medical or dental receptionist duties is advantageous but not required.
- Strong time management skills to prioritize tasks efficiently while maintaining high productivity levels.

Pay: $50,000.00 - $55,000.00 per year
