Sales Administrator

About Turf Tek USA
Turf Tek USA is a leading provider and installer of residential and commercial synthetic turf and commercial-grade playgrounds throughout the Northeast. Due to our continued growth, we are seeking an organized, motivated, and detail-oriented Sales Administrator to join our team.
The Sales Administrator will report directly to the Head of Sales and provide comprehensive administrative and operational support to the Head of Sales and the sales team. This position will assist with sales reporting, lead management, CRM administration, customer communication, sales documentation, and coordination with internal departments to help ensure an organized and efficient sales process from initial inquiry through project installation.
The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities while providing reliable support to the Head of Sales and sales team.
Responsibilities
- Report directly to the Head of Sales and provide day-to-day administrative and organizational support.
- Assist the Head of Sales with managing and tracking sales activity, proposals, accepted contracts, leads, and overall sales performance.
- Provide administrative support to sales representatives and sales management.
- Assist the sales team with customer inquiries, correspondence, follow-up, and day-to-day administrative needs.
- Prepare weekly, monthly, and annual sales reports as requested by the Head of Sales.
- Help ensure the sales team has accurate and up-to-date information regarding leads, opportunities, proposals, and projects.
CRM & Database Management
- Update and maintain the company's CRM system with accurate customer and prospect information.
- Enter and manage new leads and track lead activity and follow-up.
- Maintain accurate records of sales opportunities, proposals, contracts, and customer communications.
- Ensure sales information is current, organized, and accessible to the Head of Sales, sales team and Partners.
Sales Documentation
- Work with the Estimating department on preparing sales proposals, contracts, quotes, presentations, and other sales-related documents.
- Ensure all sales documentation is properly organized, filed, and easily accessible.
- Assist the Head of Sales and sales representatives in preparing documents and materials for customer meetings and presentations.
Data Entry & Reporting
- Accurately enter sales and customer information into company systems.
- Generate regular reports on sales activity, pipeline, proposals, conversions, and other key performance metrics.
- Assist the Head of Sales with gathering, organizing, and analyzing sales data and information.
- Track key sales metrics and provide information needed to evaluate sales performance and pipeline activity.
Scheduling & Coordination
- Coordinate with Operations and Production to assist with scheduling sold projects and installations.
- Assist with scheduling sales meetings, appointments, site visits, and other customer-related activities.
- Maintain calendars and ensure the Head of Sales and sales representatives have accurate and up-to-date scheduling information.
- Assist with coordinating communication between the Sales, Operations, Production, and Accounting teams as needed.
Customer Support
- Respond to customer and prospective customer inquiries by phone and email.
- Provide general information and direct inquiries to the appropriate sales representative.
- Assist with customer follow-up and communication throughout the sales process.
- Maintain a professional and positive customer experience.
Requirements
- Previous experience in sales administration, administrative support, customer service, or a related role.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize multiple tasks and work efficiently in a fast-paced environment.
- Ability to work independently while also functioning effectively as part of a team.
- Strong computer skills and proficiency with Microsoft Office.
- Experience with CRM systems preferred.
- Experience with LMN by Granum is a plus.
- Experience with marketing, social media, or website management is a plus.
- Must be dependable, organized, professional, and a team player.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
