Position Summary
We are seeking a full-time Receptionist/Membership Asst who will be responsible for creating a positive and professional first impression of Tampa Yacht and Country Club for members, guests, visitors, vendors, and employees. This position serves as the primary point of contact at the Club's front desk and is responsible for operating the telephone system, coordinating reservations, providing information and assistance to members and guests, and supporting administrative membership functions. The Receptionist/Membership Asst plays a key role in delivering exceptional member service while maintaining the Club's standards of hospitality and professionalism.
Key Responsibilities
Member & Guest Services
- Greet members, guests, visitors, and vendors in a friendly, professional, and courteous manner.
- Maintain a positive and welcoming first impression of the Club at all times.
- Adhere to attire guidelines and guest policies in a courteous and professional manner.
- Provide schedules, event information, directions, and general Club information to members and guests.
- Fulfill member requests, including placing phone calls, holding coats or packages, and coordinating services with other departments.
- Check in members and guests for Club events and activities.
- Report unauthorized visitors or suspicious activity in and around Club facilities to management.
Membership Management & Reporting
- Track and report membership metrics which include applications, approvals, resignations, and waitlists.
- Prepare monthly membership reports for the General Manager and Board of Directors. Includes preparing documents for the Membership Committee and compiling documents for the Board of Directors meetings and posting to Board of Directors electronic communication site(s).
- Monitor membership counts relative to cap limits and strategic goals.
- Create, maintain and prepare monthly board and membership related binders and reports in timely manner.
- Distribute monthly board meeting/membership mixers, invitations and reminders.
- Answer membership inquiries.
- Maintain and manage application distribution.
- Ensure compliance with all bylaws, membership categories, and admission procedures.
- Maintain confidentiality of member records and sensitive information.
Telephone & Communication Management
- Operate the Club telephone switchboard and answer incoming calls promptly and professionally.
- Screen and transfer calls to the appropriate departments and staff members.\
- Take and distribute accurate messages for members and employees.
- Respond to member and guest inquiries received by phone, email, online platforms, and in person.
- Maintain confidentiality of member, guest, employee, and Club information.
Reservations & Event Coordination
- Accept dining, function, and event reservations by phone, email, online systems, or in person.
- Coordinate reservation timing and availability with the Maître D' and Food & Beverage team.
- Communicate daily reservation counts and special event attendance information to dining and kitchen staff.
- Assist with member event registration and attendance tracking.
- Export reservation lists and reports as needed using Club software and Microsoft Excel.
Administrative Support
- Assemble and distribute new member welcome packets, catering packets, and other Club informational materials.
- Maintain an adequate inventory of Club forms, brochures, schedules, and informational materials.
- Assist with preparing and mailing monthly member statements and Club communications.
- Perform data entry, filing, correspondence, record maintenance, and other clerical duties.
- Greet job applicants and assist with application processing as directed.
- Support administrative departments with special projects and assignments.
Front Desk Operations
- Maintain the appearance, cleanliness, and organization of the reception area.
- Post daily events, announcements, and activities on lobby boards, kiosks, and digital displays.
- Manage the Club's lost and found program.
- Receive, log, and distribute FedEx, UPS, USPS, and other deliveries to the appropriate departments.
- Monitor visitor access and follow Club security procedures.
- Maintain a professional and organized front desk environment that reflects the Club's standards of excellence.
Other Responsibilities
- Provide administrative support to management and departmental staff as requested.
- Demonstrate professionalism, discretion, and exceptional hospitality at all times.
- Perform other duties as assigned by the Membership/Communications Director, Office Manager, Assistant General Manager, General Manager, or Manager on Duty.
Qualifications
- High school diploma or equivalent required.
- Previous receptionist, front desk, hospitality, customer service, or administrative experience preferred.
- Private club, hospitality, hotel, or luxury service experience preferred.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Ability to maintain professionalism and discretion at all times.

Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to occasionally lift and carry up to 20 pounds.
- Ability to operate standard office equipment, including computers, telephones, copiers, and printers.
Work Hours
- Full-time schedule as assigned.
- Monday through Friday.
- May occasionally need to work evenings, weekends, holidays, and special events as required by Club operations.
- Schedule may vary based on seasonal and operational needs.
