Project Coordinator (Mitigation Department) – Full-Time, In-Office

We are looking for a bright, energetic, highly organized, and proactive Project Coordinator who thrives in a fast-paced environment and enjoys being the person who keeps everything moving. This is a critical, in-office position that supports our mitigation team, project managers, technicians, customers, subcontractors, and vendors every single day.
This is an on-site position in our Agoura Hills office. Because this role is responsible for handling a high volume of incoming calls, coordinating field staff, receiving deliveries, processing physical documents, and providing real-time support to our technicians and project managers, remote or hybrid work is not available.
What You'll Do
As our Project Coordinator, you'll help keep our mitigation department running smoothly by:
- Providing daily administrative and operational support to Project Managers
- Managing a high volume of incoming and outgoing phone calls with professionalism and urgency
- Scheduling jobs, coordinating calendars, and helping manage multiple active projects simultaneously
- Communicating with homeowners, insurance adjusters, vendors, subcontractors, and field technicians
- Creating, organizing, and maintaining project files and documentation
- Receiving deliveries, processing physical paperwork, and managing office correspondence
- Welcoming clients and visitors while assisting with general front office operations
- Helping ensure projects stay organized, deadlines are met, and information flows efficiently between the office and the field

- Takes initiative, follows through, and looks for ways to solve problems rather than waiting for direction
- Enjoys being an integral part of a collaborative team and is always willing to jump in where needed
- Is proficient with Microsoft Office and comfortable learning new software and technology
- Bilingual (English/Spanish) is preferred but not required

Pay: $22.00 - $26.00 per hour
