Job Description
The Office Administrator is responsible for protecting the TWO MEN AND A TRUCK® brand through the highest level of customer service. The Office Admin will perform duties which include but are not limited to answering phones, estimating customers, interviewing candidates, entering payments in the accounting software, filing paperwork, preparing warehouse storage files, answering voice mails, and ensuring they are given to the proper staff member, complete move charges through online payment suite, and prepare interstate move paperwork among other duties. The work schedule will be 40 hours per week, rotating Saturday work. The Office Admin will help to maintain a positive work culture and must be flexible in prioritizing daily duties.

Job Responsibilities
- Ability to answer phones, handle web leads, estimate and schedule customers
- Assists with managing the applicant tracking system, interviewing candidates, scheduling interviews, coordinating, and leading new employee orientations
- Manages the claims process for damage claims including record keeping, customer communication, vendor communication, and processing payments
- Assist with closing out move paperwork
- Enter payments and deposits in Xero
- Print and prepare paperwork for upcoming moves
- Prepare, organize, and file warehouse storage paperwork
- Organize and file all completed move paperwork
- Routinely check voice mails and distribute messages to the appropriate staff members
- Maintain stock of office and paperwork supplies
- Process credit card payments through use of online payment suite
- Acts as a point of contact for new and existing customers to establish a rapport and build confidence in TWO MEN AND A TRUCK® services
- Asks open-ended, probing questions to determine customer requirements and expectations
- Obtains customer feedback through regular follow-up calls, both during and after moves to ensure ongoing customer satisfaction
- Participate in regular training and development programs offered through STICK MEN UNIVERSITY® to further your knowledge of the system
- All other duties as assigned

- A high-school diploma or general education degree (GED)
- Is a team player with the ability to listen and communicate in an effective, helpful and friendly manner with co-workers, customers, and management
- Ability to work in a fast-paced, stressful environment
- Ability to communicate calmly with upset customers, navigating through claims resolutions
- Is a proactive, self-starter with a passion to provide excellent customer service
- Willing to work on rotating Saturdays

- Language Skills: ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization; bilingual is a plus
- Mathematical Skills: ability to add, subtract, multiply and divide using whole numbers and decimals.
- Reasoning Ability: ability to solve practical problems and deal with a variety of situations with limited standardized procedures.
- Physical Demands: the employee is frequently required to stand, walk, talk, sit, hear, use hands and fingers, handle, feel and/or lift with hands and arms. The employee is occasionally required to lift 50 pounds or more.
