To oversee, manage, and be accountable for the successful administration of the school in tandem with the Development Director. Reports directly to the Board of Trustees. Supervises lead teachers and assistant teachers, contractors, interns, and volunteers.
Administrative Leadership
- Articulate, embody and support the mission, values, and goals of Mountain Pathways School.
- Create, evaluate, and revise administrative philosophy, policies, and practices that further continuous administrative improvement and excellence.
- Assist the Corporation, Board, Finance Committee, and staff set annual goals, objectives and long-term strategic direction by providing information & perspective about all aspects of the school’s administration.
Administrative Management
- Prepare job descriptions, recruit, hire, supervise, review the performance, provide support and make all decisions related to all administrative personnel and all contract, intern, and volunteer administrative support. All activities must be in accordance with the school’s mission, values, and goals, personnel policies and the personnel manual, job descriptions, and other Board guidance or recommendations.
- Manage and supervise in a way that emphasizes mutual respect, clear performance expectations & accountabilities, partnership & collaboration, and goal attainment.
Fiscal Management
- Partner with the Development Director and the Board Finance Committee to prepare and amend the school’s annual budget.
- Partner with the Development Director and the Board Finance Committee to establish annual financial aid policies, practices, and decisions.
- Manage the school’s annual budget in accordance with the Board’s direction.
- Manage income, expenditures, collections, cash flow, billing, accounts receivable and accounts payable. Co-sign checks as needed.
- Facilitate all necessary auditing activities.
- Prepare financial reports as needed for auditor, Board, Finance Committee, etc.
- Manage financial contracts, including auditing, payroll and taxes. Facilitate ongoing assessment & recommendations to the Finance Committee and Board regarding these contracts. This includes assisting the Finance Committee, and the Personnel Committee in preparing staff contracts.
- Complete Department of Social Services and other paperwork to facilitate receiving government subsidies for students.
- Manage financial and tax aspects of all donations, grants, loans, or other financial contributions to the school, including all record keeping and tax information disbursement to donors as necessary.
- Implement Board and Finance Committee decisions regarding tuition, tuition payment requirements, parent responsibilities, late fees, collections, etc.
Student & Family Collaboration
- Facilitate and respond to the needs of prospective families, including, but not limited to, accepting initial inquiries, providing information, facilitating visits and initial meetings, facilitating observations, and in general serve as the primary contact with prospective families.
- Conduct an annual review of the Parent Handbook regarding administrative issues and update as necessary. Distribute to all families each academic year.
- Conduct an annual review of all required student forms to ensure information is collected and filed appropriately.
- Facilitate and respond to the needs of current students and families, particularly regarding school operations, administration, tuition, class rosters, schedule and calendar, and contact information.
- Plan and coordinate extra-curricular activities, including but not limited to, newsletter and/or other communication, parent education sessions, open houses, work days, special days in the classrooms, community education events, etc.
Board Collaboration
- Serve as a member of the Executive Committee and perform those duties as prescribed in the bylaws.
- Serve as a member of the Board of Trustees.
- Assist (with appropriate input from the Development Director) the Executive Committee and Board Chair in preparing agenda, materials, logistics for each Board meeting.
- Assist Board and committees as needed to ensure that administrative-related information and perspectives contribute to committee actions, decisions, and policies. This includes, but is not limited to, activities related to finance, personnel, strategic planning, fundraising, development, and grant writing, public relations and marketing, volunteer coordination, community education, and other activities.
Health, Safety, Welfare
- Manage and be accountable for the health, safety, and welfare of students, families, and staff, including:
- Maintaining safe physical buildings, playgrounds, and other school-related facilities and settings.
- Obtain Playground Safety Training within 6 months of hire date
- Facilitating annual water testing and other actions to ensure water safety.
- Facilitating all necessary maintenance inspections, checks, repairs, and other actions regarding building, fire, & environmental safety.
- Obtain Fire Safety Training within 2 weeks of hire date
- Obtain EPR Child Care Training within 6 months of hire date
- Facilitating the purchase and/or use of products that ensure a healthy school environment.
Record Maintenance
- Maintain all records in accordance with governmental regulations & requirements, school policies, and common business practices regarding records maintenance, records retention, and confidentiality. Records include:
- Student school-related records
- Student records related to tuition, scholarships, and financial assistance (school, governmental, private donation, etc)
- Personnel records, including performance records in partnership with the Personnel Chair
- Tax and other financial information
- Health and safety documentation and other information
- Licensure, accreditation, and other similar regulatory record-keeping.
Qualifications
- High-school diploma or it's equivalent
- Administrator 1 license
- Have two years full-time work experience in a child care center or early childhood work experience; or undergraduate, graduate, or associate degree with 12 semester hours in child development, child psychology, early childhood education or directly related field, or one year of full-time child care or early childhood work experience
- have verification of having completed, or be currently enrolled in, two semester hours, or 32 clock hours, of training in the area of early childhood program administration
Other Administrative Management
- Manage all other aspects of the school’s administration alongside the Development Director, including, but not limited to the following:
- Purchasing supplies, equipment, materials
- Answering phones, responding to communications and notifications
- Performing clerical tasks and support
- Updating the website as needed
- Managing inclement weather actions
- Managing all aspects of day care licensure, accreditation, ratings, and compliance with Montessori standards of excellence
