Position Overview
We are seeking a highly organized, detail-oriented Client Service & Administrative Coordinator to support our advisors, clients, and operations team.
This position serves as a key member of our client service team, helping ensure a smooth and professional experience for clients while supporting the daily operations of the firm. The ideal candidate enjoys organization, communication, technology, and working in a fast-paced professional environment.
This role offers the opportunity to grow within a successful financial planning firm and develop skills in client service, operations, financial planning support, and practice management.
Schedule: Monday - Friday 8:30am - 5:00pm
Responsibilities
Client Service
- Welcome clients and visitors to the office and create a positive first impression
- Coordinate meeting logistics and prepare conference rooms
- Assist with scheduling appointments and calendar management
- Support client onboarding and account maintenance processes
- Handle routine client service requests and follow-up communications
- Maintain accurate client records and notes within firm systems
- Assist in delivering a high-touch client experience that reflects the firm's service standards
Administrative Support
- Process paperwork and assist with document management
- Maintain electronic filing systems and client records
- Support internal workflows and task management
- Assist with compliance-related administrative tasks
- Coordinate office supplies and vendor relationships
- Support team reporting and administrative projects
- Maintain organization and efficiency across firm operations
Marketing & Event Support
- Assist with client events, workshops, and webinars
- Coordinate client appreciation initiatives and gifts
- Support direct mail campaigns and marketing activities
- Prepare materials for meetings and events
- Assist with special projects and firm initiatives as needed
Technology & Systems
- Maintain CRM records and workflow systems
- Assist with data entry and database management
- Utilize Microsoft Office, Redtail CRM, Monday.com, and other firm technology platforms
- Help ensure consistency and accuracy across firm systems
Qualifications
Preferred Qualifications
- 2+ years of administrative, client service, office support, or customer service experience
- Strong organizational and time-management skills
- Excellent verbal and written communication abilities
- High attention to detail and accuracy
- Proficiency in Microsoft Office
- Ability to prioritize multiple tasks and deadlines
- Professional demeanor and strong interpersonal skills
Helpful but Not Required
- Financial services experience
- CRM experience
- Event coordination experience
- Experience in a professional office environment

Compensation & Benefits
- Salary range: $40,000 - $45,000 annually depending on experience

In addition to base salary, team members are eligible to participate in our quarterly bonus program, providing the opportunity to earn additional compensation based on individual and team performance.
