Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems, ensuring professional and courteous communication at all times
- Oversee scheduling and calendar management for executives and team members to optimize productivity and meeting coordination
- Coordinate event planning activities, including logistics, vendor management, and venue arrangements for company events or meetings
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Handle bookkeeping tasks such as invoicing, expense tracking, and utilizing QuickBooks software for accurate financial records
- Manage human resources functions including onboarding new employees, maintaining personnel files, and supporting payroll processes
- Maintain organized filing systems, manage vendor relationships, and oversee office supply inventory to ensure smooth daily operations
Skills
- Proven experience in office management or administrative roles with strong clerical and organizational skills
- Excellent communication skills with professional phone etiquette and customer service orientation
- Proficiency in QuickBooks accounting software and basic bookkeeping principles
- Strong event planning abilities with experience coordinating logistics and managing vendors
- Supervising experience with a focus on team management and staff development
- Knowledge of human resources procedures including payroll processing and employee onboarding
- Ability to manage schedules effectively while handling multiple priorities in a fast-paced environment
- Experience in medical office management or healthcare-related administrative functions is a plus
- Competence in filing systems, calendar management, and office technology including multi-line phone systems
