The Ape Office Manager provides comprehensive clerical and administrative support to Ape leadership by coordinating office operations, payroll and attendance processes, personnel actions, customer service, and building operations, ensuring the efficient, safe, and effective functioning of the program. This position serves as a primary point of contact for students, families, staff, and district departments; supports hiring and staffing processes, facility operations, and school safety procedures; and coordinates Career and Technical Education (CTE) program compliance, credential renewals, state reporting, and etra-duty contracts to support district and school objectives.
Provide and coordinate comprehensive clerical and administrative support for Ape
- leadership and operations by serving as a main contact for program and district employees, managing schedules and calendars, composing and distributing communications, maintaining and managing office and building technology, facilitating building maintenance and facility use, coordinating translation and interpretation needs, and ensuring consistent coverage and record-keeping to support efficient and safe school operations.

Manage and maintain employee time and attendance records, submit payroll requests, employee leave actions, resolve absence and coding issues, and coordinate building substitute check-in process and classroom coverage to ensure accurate payroll and smooth daily operations.

Provide information and customer service support to students, parents, guardians, staff and community by responding to inquiries and concerns, coordinating meetings, activities, and events, supporting student check-in processes, and including documentation.

Support building security and safety by following district policies and procedures, including monitoring the main entrance and greeting visitors, managing keys and security system access, assisting with crisis and safety procedures, including drills and emergency responses, maintaining building and campus maps, and submitting and tracking maintenance requests and ensuring a well-maintained campus.

Collaborate with Human Resources, Budget, and Benefits teams. Monitor staffing allocations and budget information for accuracy; coordinate and enter school personnel actions in the ERP system; provide comprehensive support for end-to-end hiring processes, ensuring efficient, accurate processing of staffing operations; and provide initial coordination with appropriate district staff regarding employee leave of absence and workers' compensation needs.

Monitor and maintain all Career and Technical Education program approvals and renewals for the district. Collect and maintain CTE data per state requirements including student follow up data, CDIP data, CTE teacher records etc.

Monitor, communicate and support CTE teachers about upcoming credential renewal due to CDE.
Manage and submit all CTE CTSO e- tra duty contracts for CTE teachers.

Perform other duties as assigned.
Required:
High school diploma or equivalent and e
- perience in secretarial work, word processing, basic computer skills and bookkeeping.
Minimum of three years e- perience in general office work.

Communicate (read, write, and speak) in English.
