ABOUT THE ROLE
P&G Construction, Inc. is seeking a sharp, detail-oriented administrative assistant to support our leadership team. You'll play a key role in keeping subcontractor documents organized, job status and leads current in our CRM, project management support, and day-to-day operations running smoothly. This position requires strong organizational and multi-tasking ability, excellent communication skills, and the ability to work with minimal supervision in a fast-paced environment. Initial training will be provided, but we're looking for a quick learner who can get up to speed fast and hit the ground running.

KEY RESPONSIBILITIES
- Draft and manage subcontractor lien documents
- Track permit status and keep records current; coordinate deliveries to building departments as needed
- Manage leads for new projects, maintain job status, and keep project status logs current
- Collect and verify subcontractor COIs (certificates of insurance)
- Review daily logs for completeness; maintain client-facing Buildertrend portals
- Manage Buildertrend job permissions for internal staff and subcontractors
- Assist with subcontractor compliance documentation and completion docs at project close-out
- Compile and organize anchor logs and other close-out records
- Support payroll manager as needed, including QuickBooks payroll entries
- Answer phones, manage correspondence, coordinate meetings and appointments
- Maintain office supplies and support general office management
- Other administrative tasks as assigned

QUALIFICATIONS
Education & Experience:
- High school diploma or equivalent required
- 3–5 years of administrative experience
- Construction or similar industry experience preferred
Skills & Tools:
- Strong Microsoft 365 skills (Word, Excel, Outlook, Teams)
- Typing speed of 50+ wpm with a focus on accuracy
- Buildertrend experience a plus
