We are seeking a full-time Administrative Assistant to support the Executive Director and Internal Operations Manager. This position reports directly to the Executive Director of FROM.
Essential Functions
Administrative Support
Primary role is to support the Executive Director including email and calendar management
- Provide support for Internal Operations Manager including data entry and administrative duties
- Update outdoor digital sign
- Coordinate conference room reservations from outside groups and internal meeting schedules
- Prepare conference rooms for staff-led meetings including setting up tables, chairs and other items
- Post signage throughout the 40,000+ sq. ft. building (calendars, sign-in sheets, flyers, brochures, etc.)
- Maintain equipment lists and vendor liability insurance documentation
- Coordinate staff enrichment activities and outings, including necessary catering
- Assist with coordinating special events including, but not limited to, annual fundraisers, volunteer appreciation, and other events
- Print communications including donation acknowledgement letters and notes
- All other tasks as assigned by Executive Director to ensure effective organizational operation
Facility Maintenance
- Schedule all maintenance contractors for installations and repairs as needed
- Assist with directing maintenance contractors and volunteers for on-site activities, indoors and outdoors
- Understand room usage and assist with access to storage areas as needed
Required Skills & Qualifications:
- At least four years of experience in an administrative support role
- Minimum 4 years professional experience in an office, nonprofit, education, healthcare, government, or similar administrative setting (experience requiring professional written communication and scheduling).
- Excellence in Outlook, proficient in Microsoft Office applications
- Demonstrated ability to manage multiple projects with set deadlines/guidelines
- Strong verbal and written communication skills
- Able to work independently with good organizational and time-management skills
- Ability to build and maintain mutually respectful relationships with a diverse population
- Detail oriented with focus on service to other team members and accuracy
- Excellent professional phone skills and follow up
- Ability to adapt to changing situations as part of a team
- Valid driver’s license and reliable transportation
- Must be available for in-person 40 hours per week of work, Monday through Thursday 8:00 am – 5 pm, Friday, flexible 4 hour shift
- Flexible schedule to accommodate an occasional evening/weekend event
Work Environment:
- Generally low noise levels in an office environment
- Professional appearance (business casual attire)
- Walking and standing for extended periods of time
- Frequently move items up to 25 lbs. for 50 feet
- May involve repeated reaching, crouching, kneeling, stooping
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
