Part-Time Executive Assistant / Administrative Coordinator

About the Role
Solutions For Life is looking for a sharp, dependable, and self-motivated Executive Assistant/Admin to take ownership of the day-to-day details that keep our agency running smoothly. This is a part-time, hybrid role based in Raleigh, NC — a mix of in-person and remote work.
We need someone who thrives on structure, doesn't need to be micromanaged, and genuinely enjoys checking things off a list. If you're the type of person who color-codes your calendar and gets satisfaction from a clean inbox, we want to hear from you.
This role exists to free up leadership time for what matters most: client relationships and agent development. You'll be the engine behind the scenes — following through, following up, and following through again.
What You'll Do
Client & Policy Support
- Follow up with clients after policy issuance to confirm they've received their documents
- Track and monitor the first 3 months of premium payments for new policies
- Contact insurance carriers directly to resolve any payment issues or discrepancies
Agent Support & Onboarding
- Assist new agents with carrier contracting and onboarding paperwork
- Schedule and coordinate sales agent recruiting interviews
- Support agents with general administrative needs as they get up to speed
General Admin & Executive Support
- Provide day-to-day customer service to clients and agents
- Manage scheduling, correspondence, and follow-up tasks for executive leadership
- Help streamline processes so priorities don't fall through the cracks
Who You Are
- Highly organized with strong follow-through — you don't let things slip
- Comfortable juggling multiple priorities without losing accuracy or attention to detail
- Confident on the phone — you're not afraid to call a carrier and advocate for a resolution
- A clear communicator, both written and verbal
- Self-motivated and able to work independently with minimal oversight
- Comfortable with basic office/admin tools (calendar management, email, spreadsheets)
- Process oriented; you understand that processes are there for a reason, though don’t mind asking or looking for a better way to get a job done.
- Prior experience in insurance, financial services, or a licensed agency is a plus — but not required if you're a fast learner
