Hoover Rehabilitation Services, Inc., is a privately owned workers' compensation management company with nearly 50 years of service in the Mid-Atlantic, and we are seeking a professional and personable telephone/front desk receptionist to join our team. This role is vital in creating a welcoming environment for both callers and in-person visitors to our home office, while ensuring efficient communication across all levels of the organization. The ideal candidate will possess excellent organizational skills, demonstrate strong customer service abilities, and be proficient in managing multi-line phone systems and office operations. Responsibilities
The chosen candidate will serve as the primary point of contact in answering, screening, and forwarding incoming calls. The position involves managing high-volume calls for multiple companies, taking accurate messages (as required), scheduling appointments, and performing administrative tasks including email, document management, and greeting visitors. A professional demeanor is vital in ensuring consistently positive impressions of the company both telephonically and in person.
Specific Duties Include:
Call handling: Answer, screen, and transfer incoming calls efficiently using specialized call-handling software.
Communication: Greet callers with a polite, professional, and friendly demeanor.
Message taking: May record detailed and accurate messages, including caller name, company, and call purpose, and forward messages promptly.
Information management: May provide basic company information, such as address, directions, and services.
Administrative support: May schedule courier (i.e., FedEx, UPS) pick-ups and other appointments, manage calendars, sort mail, and/or perform data entry using various Microsoft Office applications and/or custom company software.
Security & Safety: Grants visitor access to the company facility by operating electronic lock. Ensures all visitors sign the visitor log upon entry and exit. Maintains a secure, organized reception area.
Required Skills/Qualifications:
Communication: Exceptional verbal and written communication skills with a clear, professional telephone voice.
Technology proficiency: Experience with multi-line phone systems, Microsoft Office Suite, and electronic medical/health record-keeping software (e.g., Docuware) and/or similar software.
Customer Service: Strong interpersonal skills to manage difficult callers or complaints with patience and professionalism.
Organization: Demonstrated attention to detail in call management, scheduling and multitasking.
Education: High school diploma is required, with some college preferred.
Experience Requirements:
One to two years of experience in a professional office environment, call center, or customer service role is preferred, but Company is willing to train the right candidate.
Working Environment:
Position is primarily sedentary, with the receptionist seated at the front desk adjacent to the Company’s foyer, within sight of the facility’s main entrance.
Hours:
M-F, 8:30am to 4:30pm. No weekend work required.
Skills
- Proven experience in front desk or reception roles with strong clerical and administrative skills.
- Proficiency in multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications.
- Bilingual abilities are highly desirable to serve diverse client populations effectively.
- Excellent organizational skills with keen attention to detail and accuracy.
- Strong customer service orientation with effective communication skills.
- Knowledge of office management procedures including filing, data entry, proofreading, and calendar management.
- Familiarity with QuickBooks for bookkeeping and basic financial recordkeeping.
- Demonstrated ability to handle multiple tasks efficiently under time constraints.
- Professional phone etiquette and courteous interpersonal skills.
