About Us
Vital Harmony Mental Health PLLC is a fast-growing psychiatric nurse practitioner practice in Abilene providing medication management and in-office Spravato treatment.
We're a small, close-knit team that moves quickly and depends on every team member taking ownership of their role. We're looking for someone who wants to be a meaningful part of the team, takes pride in doing things correctly, and understands that details matter in patient care.
About the Role
This role is an important part of our day-to-day clinical operations, with a primary focus on our Spravato treatment program.
You'll split your time between general clinical support—rooming patients, obtaining vitals, assisting with documentation, supporting providers, and coordinating the day-to-day operations of our Spravato program, including treatment scheduling, patient monitoring, medication inventory, and treatment tracking.
This is not a role for someone who likes to wing it. We need someone who thrives on checklists and organized systems, catches their own mistakes, follows through, and keeps things running consistently whether it's a slow Tuesday or a packed Friday.
What You'll Do
- Room patients and accurately obtain and document vital signs, including blood pressure, heart rate, and O2 saturation
- Support providers with clinical workflows and patient care during office visits
- Perform in-office urine drug screen (UDS) collection and testing
- Coordinate the day-to-day operations of our Spravato treatment program
- Complete pre-treatment readiness checks, including confirming required patient preparation, medication availability, patient-specific inventory, and treatment documentation before administration
- Monitor Spravato patients during required observation periods according to established protocols and REMS requirements
- Obtain and document vitals at required intervals throughout treatment
- Recognize and promptly escalate abnormal vitals, concerning symptoms, changes in patient condition, or other clinical concerns to the provider
- Maintain accurate and current Spravato treatment records and tracking systems
- Track each patient's treatment schedule through induction, step-down, and maintenance phases and flag missed treatments, scheduling concerns, or other issues requiring provider attention
- Track Spravato medication supply, including pharmacy-shipped patient medication and in-office buy-and-bill inventory, and identify potential supply issues before they affect scheduled treatments
- Coordinate PHQ-9 and GAD-7 symptom assessments according to established treatment schedules
- Assist patients with treatment scheduling and correctly rebook missed or changed appointments
- Support insurance authorization tracking and identify upcoming renewals before authorizations lapse
- Assist with medication samples and other clinical inventory as needed
- Provide general front- and back-office support as needed in a small practice
What We're Looking For
- Hands-on healthcare experience in a clinical setting required; backgrounds may include Medical Assistant, CNA, LVN, paramedic/EMT, phlebotomist, or similar experience
- Comfortable and confident obtaining accurate blood pressure, heart rate, and O2 saturation readings
- Able to perform in-office UDS collection and testing; prior experience preferred, but we'll train the right person
- Extremely organized and detail-oriented—this role relies heavily on tracking systems, checklists, and follow-through
- Detail-oriented enough to notice when something doesn't look right—and confident enough to speak up before it becomes a problem
- Proficient with Excel and comfortable learning and using electronic systems
- Able to follow established clinical protocols consistently and accurately
- Self-motivated and willing to take ownership without needing to be micromanaged
- Calm, attentive, and comfortable monitoring patients during treatment
- Able to communicate clearly with patients, providers, pharmacies, and other members of the team
- Willing to help where needed and work collaboratively in a small-practice environment
- Reliable and punctual—we are a small team and depend on each other
Preferred, but not required:
- Experience in psychiatry or behavioral health
- Previous Spravato experience
- Experience working with REMS medications or programs
- Experience with prior authorizations or insurance authorization tracking
Prior Spravato experience is not required. We are willing to train the right person who brings strong clinical fundamentals, attention to detail, reliability, and a willingness to learn.
