Job Overview
We are seeking a proactive, organized, and detail-oriented Construction Operations Assistant to support our residential construction team. In this role, you will assist with building permits, field team coordination, invoice tracking, project documentation, and the review and selection of home customization items.
The ideal candidate is an effective communicator who can manage multiple priorities, follow tasks through completion, and help maintain smooth communication between the office, field teams, vendors, subcontractors, and clients. This is a full-time, on-site position in Greenville, Monday through Friday.
Duties
- Prepare, submit, and track building permit applications and related documentation with local government agencies.
- Monitor permit status, inspection requirements, approvals, and outstanding documentation.
- Provide administrative and operational support to project managers and field construction teams.
- Communicate with subcontractors, vendors, inspectors, clients, and local authorities regarding project needs and pending items.
- Review, organize, and track invoices from vendors, subcontractors, and service providers.
- Verify invoice information and coordinate with the appropriate team members before payment approval.
- Maintain accurate project files, records, schedules, selections, and construction documentation.
- Assist with reviewing and selecting finishes, materials, fixtures, and customization options for residential properties.
- Track client selections, changes, deadlines, pricing, and approvals to help prevent construction delays.
- Follow up on open tasks and communicate important updates to office and field teams.
- Assist with purchase orders, vendor records, and material-related documentation.
- Prepare project updates, reports, meeting notes, and action-item lists as needed.
- Help monitor project schedules and identify potential administrative delays or missing information.
- Support compliance with company procedures, building requirements, and applicable regulations.
- Perform additional administrative and construction support duties as needed.
Experience and Qualifications
- Previous experience in construction administration, project coordination, permitting, or a related role is preferred.
- Experience in residential construction is a plus.
- Fluency in English is required.
- Proficiency in Portuguese and/or Spanish is a plus.
- Strong organizational and time-management skills.
- Excellent attention to detail and ability to maintain accurate records.
- Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, especially Excel, or Google Workspace.
- Experience working with invoices, permits, purchase orders, construction documents, or project tracking systems is preferred.
- Familiarity with construction management software is a plus, but not required.
- Ability to communicate effectively with field teams, subcontractors, suppliers, clients, and government agencies.
- Proactive attitude and willingness to learn and take ownership of assigned responsibilities.
- Reliable transportation and availability to work on-site in Greenville.
