At Livia Design Group, we believe exceptional design deserves an exceptional client experience. Our Purchasing & Product Administrator plays a key role in making that happen by ensuring every product is quoted, ordered, tracked, delivered, and supported with accuracy and care.
This is a fast-paced position for someone who enjoys organization, solving problems, building relationships with vendors and clients, and keeping projects moving forward. You'll work closely with our design team, vendors, installers, and clients to make sure every detail is handled professionally from quote to final installation.

What You'll Do
- Begin each workday at 9:00 AM EST, ready to support the team.
- Prepare client estimates and product pricing.
- Manage approvals, purchasing, ordering, and delivery coordination for client selections.
- Coordinate product installations and warehouse activities.
- Manage returns, exchanges, warranty claims, damages, and logistics.
- Build strong relationships with vendors and negotiate favorable pricing and purchasing terms.
- Generate invoices, process payments, and maintain accurate Accounts Receivable records.
- Follow up professionally on outstanding balances and collections.
- Provide exceptional customer service to clients throughout the purchasing process.
- Monitor departmental credit card activity, reconcile transactions, and manage disputes when necessary.
- Help coordinate the upkeep and organization of office facilities.
- Maintain organized physical and digital workspaces.
- Support the department with additional responsibilities as business needs evolve.
What We're Looking For
- High school diploma or equivalent required.
- Strong organizational and time-management skills with exceptional attention to detail.
- Administrative office experience is a plus.
- Excellent written and verbal communication skills.
- Professional, positive, and customer-focused attitude.
- Comfortable working with multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office.
- Experience with accounting or inventory software such as QuickBooks, Sage, or similar platforms is a strong advantage.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
