Best Partner Worldwide Logistics Group, Inc. is a newly established international logistics company specializing in U.S.–China freight forwarding, import operations, and customs clearance.
As we continue building our U.S. operations team, we are seeking a bilingual Operations Specialist who can support daily shipment activities, communicate effectively with U.S. and overseas teams, and grow with the company.
Candidates with strong import and customs clearance experience may be considered for the Senior Operations Specialist level. Candidates with less experience but a solid logistics background and willingness to learn may be considered for the Operations Specialist level.
Position Summary
The Operations Specialist will support end-to-end U.S. import operations for air and ocean shipments. This position works closely with carriers, truckers, warehouses, customs brokers, customers, and the company’s China and Hong Kong teams.
The ideal candidate is detail-oriented, responsive, and comfortable working in a startup environment where priorities may change quickly. The individual should be able to identify operational issues, communicate shipment updates clearly, and take ownership of assigned shipments.
Senior-level candidates will also be expected to handle more complex shipments independently, improve operational procedures, and assist with training junior team members as the company grows.
Key Responsibilities
- Coordinate daily U.S. import operations for air and ocean shipments.
- Communicate with carriers, airlines, steamship lines, truckers, warehouses, customs brokers, customers, and overseas offices.
- Monitor shipment status from origin through customs clearance and final delivery.
- Prepare, review, and organize shipping and customs-related documents, including bills of lading, ISF information, arrival notices, commercial invoices, packing lists, delivery orders, and entry documentation.
- Coordinate customs clearance and follow up with customs brokers regarding shipment holds, examinations, missing documents, duties, and release status.
- Track shipments and provide timely, accurate updates to customers and internal teams.
- Schedule pickups, deliveries, warehouse appointments, and other transportation services.
- Identify and resolve shipment delays, documentation issues, delivery exceptions, and other operational problems.
- Maintain accurate shipment records and data in the company’s logistics systems and internal tracking reports.
- Communicate with the China and Hong Kong teams in Chinese regarding shipment details, documentation, customer requirements, and operational issues.
- Assist with invoicing support, cost verification, shipment file completion, and operational reporting.
- Follow company procedures and applicable U.S. import and customs requirements.
- Support process improvements as the company develops its U.S. operations.
Additional Senior-Level Responsibilities
Candidates hired at the Senior Operations Specialist level may also be responsible for:
- Independently managing complex or high-priority import shipments.
- Reviewing shipment files and documentation prepared by junior team members.
- Escalating customs, compliance, carrier, or customer issues to management.
- Developing and improving operational workflows, checklists, and standard operating procedures.
- Training and supporting new operations employees.
- Helping management identify operational risks, recurring shipment issues, and opportunities to improve service quality.
Qualifications
Operations Specialist
- Approximately 1–3 years of experience in freight forwarding, logistics, transportation, customs brokerage support, or import operations preferred.
- Basic understanding of U.S. air or ocean import procedures.
- Familiarity with shipping documents such as bills of lading, commercial invoices, packing lists, arrival notices, and delivery orders.
- Professional proficiency in Mandarin Chinese and English is required.
- Strong attention to detail and willingness to learn.
- Ability to follow up consistently and manage multiple shipments and deadlines.
- Proficiency in Microsoft Office, including Outlook, Excel, and Word.
- Experience using a freight forwarding or logistics management system is preferred.
Senior Operations Specialist
- Five or more years of freight forwarding, import logistics, customs brokerage, or related operations experience preferred.
- Strong knowledge of U.S. import procedures, customs clearance steps, required documentation, and regulatory timelines.
- Experience independently managing air and ocean import shipments.
- Ability to troubleshoot customs holds, documentation discrepancies, carrier delays, warehouse issues, and delivery exceptions.
- Professional proficiency in Mandarin Chinese and English is required.
- Strong communication, organizational, analytical, and problem-solving skills.
- Ability to work independently with minimal supervision.
- Experience training employees, reviewing operational work, or improving procedures is preferred.
- Proficiency in Microsoft Office and logistics or freight forwarding systems.
Preferred Experience
- Experience coordinating Amazon FBA inbound shipments, including shipment preparation, appointment scheduling, labeling requirements, delivery coordination, and issue resolution
- Experience with warehouse transfer operations and e-commerce fulfillment, including receiving, inventory transfers, pick-and-pack operations, and direct-to-consumer shipping
- Familiarity with cross-dock, transloading, and container freight station (CFS) operations
- Experience coordinating Customs Examination Station (CES) examinations, customs holds, and bonded warehouse activities
- Experience working with warehouses, truckers, customs brokers, and other service providers to manage shipment receiving, transfers, release, and final delivery
- Experience using GoFreight or a similar freight forwarding, transportation, warehouse, or logistics management system
Work Environment
This is a full-time, on-site position at the company’s City of Industry office. The position requires regular communication with overseas teams, customers, vendors, and service providers. Occasional schedule flexibility may be necessary to address time-sensitive shipment or customs issues.
