Responsibilities
- Greet clients and visitors at the front desk with a warm, professional demeanor while managing multi-line phone systems and scheduling appointments.
- Handle incoming calls with excellent phone etiquette, providing prompt assistance or directing calls to the appropriate team members.
- Manage calendar appointments, coordinate meetings, and ensure timely follow-up for client inquiries or requests.
- Maintain accurate records through data entry, filing, and updating client information using software tools such as Microsoft Office, Google Workspace, and QuickBooks.
- Support office management tasks including bookkeeping, invoicing, proofing documents, and organizing files for easy retrieval.
- Assist with clerical duties such as typing correspondence, proofreading documents, and managing office supplies to ensure smooth daily operations.
- Provide exceptional customer support by addressing client questions or concerns promptly and professionally while maintaining confidentiality.

Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Excellent communication skills—both verbal and written—with an emphasis on professional phone etiquette.
- Experience with office management systems such as QuickBooks or similar bookkeeping software is preferred.
- Previous office experience including clerical work or administrative support is highly desirable.
- Familiarity with multi-line phone systems, data entry, filing procedures, and calendar management tools.
- Demonstrated ability to handle confidential information discreetly while providing outstanding customer service.
