We are seeking an organized, detail-oriented, and high-energy Office Manager to anchor our main operations in Havre de Grace, MD, and help support our continued growth.
Position Summary
The Office Manager is the heart of our administrative operations. In this role, you will manage daily front-office logistics, coordinate critical HR compliance and onboarding, streamline workforce scheduling, and provide direct support to the Executive Staff. The ideal candidate is a proactive problem-solver who thrives on structure, maintains meticulous digital records, and brings a warm, professional presence to our staff, clients, and community partners.
Key Responsibilities
- Compliance Onboarding & HR Coordination: Manage the onboarding process for new field staff (CNAs/GNAs/PCAs). Ensure all employee files are 100% compliant with Maryland regulations, tracking background check submissions, medical clearances, active licenses, and required training modules.
- Workforce Scheduling & Logistics: Coordinate and optimize staff schedules, ensuring seamless care coverage for our clients. Assist field employees with utilizing our workforce management platform for clock-ins, shift documentation, and task tracking. Handle calendar management, scheduling appointments, meetings, and coordinating events with precision. Provide exceptional customer support by addressing inquiries via phone or email promptly and professionally
- Digital Document Management: Maintain a highly secure, impeccably organized digital filing system using OneDrive to ensure administrative and client files are audit-ready at a moment’s notice. Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, maintaining organized filing systems both digitally and physically
- Office Operations: Serve as the primary point of contact for the office—managing incoming calls, welcoming visitors, ordering office supplies, distributing company property, and maintaining an orderly workspace. Manage daily office operations, equipment, and facility maintenance to ensure an efficient work environment. Serve as the first point of contact at the front desk, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy.
- Administrative: Support administrative functions, ensuring timely follow-up on tasks
Required Qualifications
- Experience: 2+ years of office management or senior administrative experience, preferably within a healthcare, home health, or medical office environment. Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service
- Technical Proficiency: Strong hands-on experience with workforce management and scheduling platforms (such as Connecteam) and cloud storage systems (OneDrive). Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), and familiarity with productivity tools. Experience with data entry, filing systems, and document proofreading to ensure accuracy and clarity.
- Attributes: Exceptional organizational skills with a checklist-oriented mindset. Strong communication skills, discretion with sensitive data, and a natural ability to multitask under deadlines. Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Excellent phone etiquette coupled with a professional demeanor at the front desk or reception area.

Pay: $800.00 - $1,000.00 per week
