Medical Assistant / Front Desk Coordinator – Medical Spa

HealthZen Medical Spa is seeking a professional, friendly, organized, and motivated Medical Assistant / Front Desk Coordinator to join our growing medical aesthetics and wellness practice.
This position is ideal for someone who enjoys working with patients, has excellent customer service skills, and can confidently balance front-desk responsibilities with clinical support in a fast-paced medical spa environment.
Responsibilities
- Welcome patients and provide a warm, professional experience from check-in through check-out
- Answer phone calls, text messages, and patient inquiries
- Schedule, confirm, and manage patient appointments
- Collect payments and assist with checkout
- Maintain accurate patient information, consent forms, and electronic medical records
- Assist providers with patient intake, medical history, vital signs, and treatment preparation
- Prepare and clean treatment rooms before and after procedures
- Maintain appropriate infection-control and sanitation standards
- Take before-and-after photos when required
- Assist with inventory and restocking treatment rooms
- Help maintain an organized, clean, and professional front desk and clinical environment
- Educate patients regarding appointments, pre-treatment instructions, and aftercare as directed by the provider
- Assist with follow-up communication and appointment reminders
- Support daily medical spa operations and work closely with providers and other team members
- Maintain strict patient confidentiality and HIPAA compliance
Qualifications
- Medical Assistant experience or training preferred
- Previous medical spa, dermatology, plastic surgery, wellness, or aesthetic practice experience is a plus
- Strong customer service and communication skills
- Professional, polished, friendly, and dependable
- Comfortable communicating with patients by phone, text, and in person
- Strong organizational and multitasking skills
- Comfortable using computers, scheduling systems, and electronic medical records
- Ability to work efficiently in a busy environment
- Reliable, punctual, and team-oriented
- Interest in medical aesthetics, skincare, wellness, and patient care
