Job Overview
We are seeking an energetic and highly organized Law Office Manager to lead the administrative operations of our legal practice. This pivotal role involves overseeing daily office functions, managing staff, coordinating schedules, and ensuring smooth communication between clients, attorneys, and vendors. Duties
- Manage daily office operations, including front desk activities, multi-line phone systems, and client greeting procedures
- Oversee scheduling and calendar management for attorneys and staff to optimize productivity
- Supervise administrative staff, including training, development, and performance evaluations
- Coordinate vendor relationships, manage office supplies inventory, and oversee vendor payments using QuickBooks or similar accounting software
- Handle bookkeeping tasks such as invoicing, billing, payroll processing, and expense tracking
- Maintain meticulous filing systems—both digital and physical—and ensure compliance with confidentiality standards
- Oversee human resources functions including onboarding new employees, managing employee records, and addressing HR-related inquiries
- Organize and plan events such as client meetings, community outreach programs, or staff training sessions
- Monitor office budgets, track expenses, and implement cost-saving measures without compromising service quality
- Ensure efficient office management by implementing best practices in clerical tasks like data entry, document preparation, and record keeping
Qualifications
- Must have law office management experience
- Proven experience in office management within a legal setting required; strong administrative background required
- Supervising experience with demonstrated leadership skills in team management and staff development
- Proficiency in QuickBooks or similar financial management software is essential
- Exceptional organizational skills with the ability to manage multiple calendars and deadlines effectively
- Strong communication skills—both verbal and written—to facilitate clear interactions with clients, vendors, and team members
- Experience with event planning and coordinating meetings or community events is a plus
- Knowledge of human resources processes including onboarding, payroll administration, and employee relations
- Familiarity with bookkeeping practices and budgeting to maintain financial health of the office
- Office experience involving clerical duties such as filing systems, front desk operations, multi-line phone handling, and calendar management
- Ability to handle sensitive information discreetly while maintaining professionalism at all times
