The Administrative Assistant will provide a full range of support services to partners, clients, and professional staff.
Responsibilities
- Provide administrative support to the Audit and/or Tax departments to ensure the timely and accurate completion of client deliverables.
- Prepare, format, proofread, and assemble financial statements, tax returns, engagement letters, reports, correspondence, and other client documents.
- Review documents for accuracy, consistency, completeness, formatting, and overall presentation prior to distribution.
- Compile, bind, distribute, and securely deliver client documents in both electronic and printed formats.
- Compose, edit, and process professional correspondence and other business documents using Microsoft Office applications.
- Scan, organize, and maintain electronic documents in accordance with firm document management standards.
- Coordinate shipping and mail services, including FedEx, UPS, U.S. Mail, courier services, and secure electronic delivery.
- Provide general office support, including copying, scanning, printing, document assembly, mailings, labels, and supply management.
- Provide backup reception coverage, including answering phones, greeting visitors, and covering scheduled absences.
- Assist with seasonal tax return assembly and other administrative support during peak filing periods.
- Support partners, managers, and staff with special projects and other administrative assignments as needed.
- Utilize firm technology and AI-enabled tools, where appropriate, to improve efficiency, enhance document quality, and streamline administrative processes.
- Maintain confidentiality of client and firm information and perform other duties as assigned.
Experience
- Strong organizational skills with attention to detail and accuracy
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint
- Excellent written and verbal communication skills, including proofreading
- Professional interpersonal and customer service skills with the ability to interact effectively with clients and coworkers
- Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment
- Ability to work independently and collaboratively as part of a team
- Willingness to learn new technologies and AI-enabled tools that improve efficiency
- Flexibility to work additional hours, including evenings and occasional Saturdays during peak business periods
