Administrative Assistant (Contract)

Job Responsibilities:
Manage complex executive calendars, including proactive scheduling, prioritization of shifting business needs, travel arrangements, and expense report processing
Partner and cross-collaborate with administrative peers across the broader organization, as well as with HR, Staffing, Finance, and Facilities teams
Manage headcount tracking, open position monitoring, requisition creation, new hire onboarding, and maintenance of distribution lists
Oversee space allocation, anticipate compression issues, coordinate individual and group moves, and manage space-related logistics
Purchase and track equipment for new hires and refresh cycles, including asset tracking, custodian updates, cost center management, and equipment transfers
Review operating budgets and spending activity, identify near-overages, partner with Finance to resolve discrepancies, and act as interim approver on team expense reports to ensure coding accuracy
Plan and execute team off-sites, morale events, All-Hands Meetings, and other organizational events, including cross-team coordination and logistics support
Develop a strong understanding of the rhythm of the business and planning cycles to proactively anticipate needs, manage spend, and align support accordingly
Serve as backup administrative support across the broader administrative group as coverage needs arise
Process purchase orders and manage procurement activities through relevant ordering systems
Requirements:
Minimum of 4 years of demonstrated administrative experience in a fast-paced environment
Prior Microsoft administrative experience required, such as in a Group Business Administrator or vendor Business Administrator capacity
At least 1 year of experience with Microsoft internal tools
4 or more years of customer service experience in an administrative or related capacity
Experience supporting teams with equipment ordering, new hire onboarding, and space management
Experience with purchase order systems and a general understanding of budget management
Advanced calendar management skills, including experience supporting senior or executive-level leaders
Strong verbal and written communication skills with the ability to work effectively across teams and locations
Exceptional organizational skills with a high attention to detail and strong problem-solving ability
Ability to manage multiple priorities simultaneously and respond with appropriate urgency in a fast-paced environment
Strong cross-team collaboration and interpersonal skills
Demonstrated ability to maintain confidentiality and exercise sound judgment, tact, diplomacy, and professionalism at all times
Tech-savvy with the ability to assist team members with general equipment setup questions and troubleshoot basic hardware configurations
Experience with equipment ordering, asset tracking, and procurement processes including purchase orders
Familiarity with headcount management tools and new hire onboarding processes
Experience with budget monitoring and expense report review and approval
Proficiency with Microsoft Outlook, Excel, and Word
Experience with Microsoft internal tools such as Employee Central, TA Hub, HR Insights, MSS, Informa, GMMs, and MS Space preferred
Ability to lift and move standard office equipment such as computers and peripherals
Additional Details:
Location: Redmond, WA (Hybrid: 3 days per week)
Duration: 1 month
Pay Range*: $27.50 - $31 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
