Duties
- Greet visitors and guests warmly, ensuring a positive first impression
- Answer and direct all incoming calls using multi-line phone systems with professionalism and courtesy
- Manage office operations including filing, data entry, and document proofreading to maintain accuracy and efficiency
- Support calendar management and scheduling for staff or events using Google Workspace or Microsoft Office tools
- Assist with basic bookkeeping tasks such as invoicing or QuickBooks data entry to support financial processes
- Maintain security protocols by monitoring CCTV surveillance and conducting routine inspections of the premises
- Handle clerical duties such as filing, organizing documents, and managing office supplies to keep the workspace tidy and functional
- Provide customer support by addressing inquiries promptly and courteously, both in person and via phone or email
- Support administrative tasks like proofreading correspondence, managing office emails, and supporting personal assistant responsibilities as needed
- Demonstrate excellent phone etiquette while managing multiple responsibilities efficiently during overnight hours
Experience
- Prior experience working at a front desk or in office management roles preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry systems
- Bilingual abilities are highly valued to assist diverse visitors and staff effectively
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Clerical experience including filing, proofreading, calendar management, and administrative support preferred
- Customer service background emphasizing professional communication and problem-solving skills
- Experience with office software such as QuickBooks for bookkeeping or similar financial tools is advantageous
- Familiarity with multi-line phone systems and phone etiquette during busy periods
