Job Summary
At Kruwis Management, we are seeking an experienced, detail-oriented Payroll Manager to lead and oversee all payroll operations for our growing organization. This role is responsible for ensuring payroll is processed accurately, timely, and in full compliance with all federal, state, and local regulations.
The Payroll Manager will lead the payroll team, oversee payroll systems and processes, ensure regulatory compliance, and partner closely with Human Resources and Accounting to support employee compensation, benefits administration, financial reporting, and operational excellence.
Kruwis Management is a multi-unit, multi-state management company that currently operates three distinct restaurant concepts with more than 1,500 employees across multiple locations. Essential Responsibilities
- Manage the complete payroll cycle, ensuring payroll is processed accurately and on schedule using payroll systems such as ADP and Harri.
- Lead, coach, and develop the payroll team while establishing best practices and maintaining high standards of accuracy, efficiency, and compliance.
- Ensure compliance with all federal, state, and local payroll tax regulations, wage and hour laws, and reporting requirements across multiple states.
- Monitor and ensure compliance with applicable state and local labor laws, including minimum wage requirements, overtime regulations, paid sick leave, predictive scheduling laws (where applicable), final pay requirements, meal and rest break requirements, and other employment-related payroll regulations.
- Partner with Human Resources and Operations to interpret payroll-related labor law requirements and implement payroll processes that support compliance across all locations.
- Oversee payroll data management, including employee earnings, deductions, taxes, benefits, garnishments, and other payroll adjustments.
- Prepare, review, and maintain accurate payroll records, reports, reconciliations, and supporting documentation.
- Reconcile payroll accounts and work closely with Accounting to ensure payroll-related journal entries and financial records are accurate.
- Serve as the primary point of contact for payroll-related questions, resolving employee and management inquiries in a professional and timely manner.
- Partner with Human Resources to process new hires, promotions, transfers, pay changes, leaves of absence, and terminations accurately.
- Support benefits administration by ensuring payroll deductions and employer contributions are processed correctly.
- Coordinate internal and external payroll audits by preparing documentation and resolving discrepancies.
- Identify opportunities to improve payroll systems, workflows, reporting, and internal controls to support a rapidly growing organization.
- Stay current on payroll legislation, labor law updates, tax changes, and industry best practices, implementing changes as needed to ensure ongoing compliance.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred; equivalent experience will be considered.
- Five or more years of progressive payroll experience, including leadership or supervisory responsibilities.
- Experience managing payroll for a multi-state, multi-location organization is strongly preferred.
- Extensive knowledge of payroll processing, payroll tax regulations, wage and hour laws, labor law compliance, internal controls, and payroll best practices.
- Working knowledge of federal, state, and local labor laws affecting payroll, particularly within the restaurant or hospitality industry, is highly preferred.
- Experience with payroll systems such as ADP, Harri, or similar HRIS/payroll platforms.
- Strong understanding of payroll accounting, reconciliations, and financial reporting.
- Experience administering employee benefits as they relate to payroll.
- Advanced proficiency in Microsoft Excel and payroll reporting.
- Exceptional attention to detail with strong analytical and problem-solving skills.
- Excellent organizational, communication, and time management skills.
- Ability to maintain confidentiality and handle sensitive employee information with professionalism.
