Position Title: HR Coordinator
Department: Human Resources
FLSA Status: Full-Time / Non-Exempt
Work Location: 3 Days in Office / 2 Remote
Reports To: VP, Human Resources
Position Summary
The HR Coordinator manages the day-to-day administrative and operational tasks of the Human Resources department, serving as a key point of contact for employees, candidates, and management. This role supports the full employee lifecycle from scheduling interviews and onboarding new hires to maintaining accurate employee records in ADP and answering staff questions about benefits and company policies. The ideal candidate is highly organized, detail-oriented, and experienced with ADP, with a strong commitment to confidentiality and service excellence.
Key Responsibilities:
Recruitment & Onboarding
· Coordinate and schedule interviews between candidates and hiring managers; communicate logistics and follow-ups to all parties
· Post job openings to internal and external job boards and assist with applicant tracking
· Prepare offer letters, initiate background checks, and collect pre-employment documentation
· Conduct new-hire onboarding and orientation sessions, ensuring all paperwork (I-9, W-4, direct deposit, benefits enrollment) is completed accurately and on time
· Set up new employees in ADP and coordinate with IT and facilities for equipment and workspace readiness
HRIS & Records Management
· Maintain accurate, up-to-date employee records in ADP Workforce Now, including new hires, terminations, promotions, transfers, and compensation changes
· Process employee data changes and ensure data integrity through regular audits
· Generate reports from ADP for management, payroll, compliance, and audit purposes
· Maintain personnel files in compliance with federal, state, and local recordkeeping requirements
Benefits & Payroll Support
· Serve as the first point of contact for employee questions regarding benefits, payroll, PTO, and company policies
· Assist with annual open enrollment, benefits administration, and communication of plan changes
· Support payroll processing by verifying timekeeping records and submitting accurate data through ADP
· Coordinate leave-of-absence administration (FMLA, disability, parental leave) with the HR Manager
General Administration
· Respond promptly and professionally to employee inquiries, escalating complex issues as appropriate
· Assist in planning and executing employee engagement activities, recognition programs, and company events
· Support offboarding processes, including exit interviews, final pay coordination, and system deactivation
· Help maintain and update the employee handbook, policy documents, and HR forms
· Provide general administrative support to the HR team, including calendar management, filing, and correspondence
Required Qualifications
· Associate's or Bachelor’s degree in human resources or a related field (or equivalent work experience)
· 1–3 years of experience in an HR support or coordinator role
· Hands-on experience with ADP is required
· Working knowledge of HR practices, employment laws, and regulations (FLSA, FMLA, ADA, EEO)
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
· Strong organizational skills with exceptional attention to detail and accuracy
· Excellent written and verbal communication skills
· Proven ability to handle sensitive information with discretion and maintain strict confidentiality
Preferred Qualifications
· aPHR or PHR certification (or willingness to obtain within six months)
· Experience supporting payroll processing through ADP
· Familiarity with applicant tracking systems (ATS) and benefits administration platforms
· Experience in a fast-paced, multi-location, or high-growth environment
· Must juggle multiple priorities and deadlines without sacrificing accuracy
