Duties
- Manage front desk operations, including review provider schedules to ensure an efficient flow, scheduling appointment, answering multi-line phone systems, and responding to calls with professional phone etiquette
- Oversee calendar management and scheduling for providers and team members, ensuring timely appointments
- Maintain accurate records through data entry, ensuring balance sheets, and document management using Microsoft Office
- Provide excellent clinic support by addressing potent issues promptly and professionally via phone or email
- Assist with bookkeeping activities using QuickBooks to track expenses and manage invoices
- Support office management functions including organizing events, managing office policies, and coordinating with the hospital schedule
Experience
- Proven experience in office management or administrative roles with a strong background in organization and team
- Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, data entry, and general computer literacy
- Prior experience working in a medical/dental office environment with various EMRs ( namely ECW and Epic) is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse patients
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail
- Ob/Gyn experience is beneficial for understanding scheduling complexities and confidentiality requirements
