Job Title: Volunteer Program Coordinator

Reports To: Volunteer Program Manager
Supervisory Responsibilities: Supervises the workflow of volunteers; no direct reports
Back Up: Volunteer Program Manager
Purpose Summary: Assist with maintaining a first-class Volunteer Program for Second Harvest Food Bank. This includes developing and maintaining relationships with in-house volunteers, ensuring volunteers receive needed training and direction, maintaining a clean and safe volunteer workspace, and completing record-keeping to ensure this vital program remains successful and efficient.
Top Five:
1. Build and maintain positive, professional relationships with volunteers and volunteer groups.
2. Provide volunteers with clear training, direction, and actionable steps for assigned tasks.
3. Maintain a safe, orderly, and well-equipped workspace for all volunteers.
4. Track in-house volunteer data in GivePulse and maintain accurate task schedules.
5. Monitor volunteer satisfaction and promptly report or escalate issues to the Program Manager.
Role Responsibilities:
· Work independently as well as in a team setting.
· Foster a welcoming, encouraging atmosphere for all volunteers.
· Communicate with volunteers in person, in writing, and via radio.
· Discern actionable steps needed for tasks assigned by the Program Manager.
· Create and articulate clear action steps for volunteers.
· Adapt and troubleshoot daily to accommodate fluctuations in volunteer availability.
· Match volunteers to tasks that best suit their skills and abilities.
· Supervise volunteer workflow; adjust tasks or timing as needed for safety and project completion.
· Evaluate and escalate concerns to the Program Manager when issues arise.
· Ensure volunteers have the tools and materials needed to complete tasks; notify the Program Manager of shortages.
· Maintain safety and security protocols for volunteers and guests.
· Monitor volunteer satisfaction and report concerns immediately.
· Create daily/weekly/monthly task schedules.
· Develop positive relationships with volunteers while supervising and working alongside them.
· Use GivePulse for in-house volunteer data tracking.
· Implement strategies to resolve issues as they arise.
· Safely operate pallet jacks or other equipment.
· Perform other duties as assigned.
Required Qualifications:
· Ability to provide a positive environment for volunteers and coworkers.
· Ability to walk on concrete for long periods.
· Valid driver’s license and access to a personal vehicle.
· Ability to bend and lift a minimum of 50 lbs.
· Ability to work with diverse personality types and populations.
· Ability to adhere to and enforce safety regulations.
Training Required:
· Safety and security protocols
· Equipment operation (e.g., pallet jack)
· GivePulse data entry and tracking
· Second Harvest volunteer procedures and warehouse protocols
· ServSafe certification (provided)
Working Conditions:
Walking/standing on concrete for extended periods; bending; lifting 50 lbs.; using warehouse equipment. Minimal travel required; occasional errands using personal vehicle.
Availability to work flexible hours, including occasional evenings and weekends (Third Thursdays 5-7PM and First Saturdays 9AM-12PM of the month).
