Position Summary
Fifth Avenue Restaurant Group is seeking a professional, organized, and service-focused Office Coordinator & Receptionist to serve as the first point of contact for our Corporate Office.
This position plays a key role in supporting daily office operations while creating a welcoming and professional environment for guests, vendors, and team members. The ideal candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities in a fast-paced environment.

Essential Job Functions
Front Desk & Guest Services

Serve as the primary point of contact for visitors, vendors, customers, and guests entering the Corporate Office.

Greet and assist visitors in a professional, friendly, and welcoming manner.

Answer and direct incoming telephone calls, take accurate messages, and route inquiries to the appropriate team members.

Maintain a professional and organized reception area.

Provide outstanding customer service and assist with routine questions and requests.
Administrative Support

Provide administrative support to Corporate Office staff and Operations Team members.

Coordinate meeting schedules and conference room reservations.

Assist with preparation, scanning, filing, copying, distribution, and organization of company documents.

Prepare routine correspondence, reports, forms, and spreadsheets as assigned.

Maintain electronic and physical records in accordance with company policies.

Support special projects and perform other administrative duties as assigned.
Office Operations
-
Manage incoming and outgoing mail, packages, shipping, and courier services.

Operate and maintain postage equipment and coordinate mail distribution.

Maintain employee directories, contact lists, and organizational information.

Order and maintain office supplies, cleaning supplies, kitchen supplies, business cards, name badges, deposit materials, and other approved office resources.

Monitor inventory levels and coordinate replenishment of office and breakroom supplies.

Maintain organized storage areas, company records, and archived documents.

Help ensure shared office spaces, including reception, kitchen, and conference areas, remain organized, stocked, and professional.
Vendor Coordination

Coordinate service schedules and appointments with office vendors, including maintenance providers, equipment service companies, shredding services, and other approved suppliers.

Assist with obtaining information, scheduling services, and following up on vendor requests.

Coordinate repairs and service requests for office equipment and office facilities as needed.
Store Support & Compliance

Review weekly store packets for completeness, accuracy, and timely submission.

Communicate discrepancies, missing documentation, or incomplete information to store management and assist with follow-up as needed.

Maintain organized records of store packet submissions and related operational documents.
Employee Support

Prepare, update, and distribute employee identification badges based on approved requests.

Assist with onboarding activities, including preparing materials and coordinating office resources for new team members.

Support employee communication and administrative requests as directed.
Accounting Support

Assist the Accounting Department with administrative tasks, document organization, filing, and special projects as assigned.

Support collection and organization of documents required for audits, compliance reviews, and internal reporting.
Technology & Equipment Support

Serve as the point of contact for routine office equipment needs, including copiers, printers, scanners, and postage equipment.

Coordinate service requests and maintenance with third-party vendors.

Assist team members with basic office equipment troubleshooting.

Handle confidential employee, operational, and company information with discretion and professionalism.

Maintain strict confidentiality regarding employee records, personnel matters, and company information.

Demonstrate professionalism, dependability, and good judgment in all interactions.

Qualifications

High school diploma or equivalent.

Two (2) years of administrative, office coordination, receptionist, or customer service experience required.

Strong verbal and written communication skills.
