The Business Office Manager serves as a key member of the leadership team, overseeing the community's financial operations, billing, payroll, and human resources administration. This role ensures accurate financial reporting, supports employee lifecycle activities, maintains compliance with applicable regulations, and helps foster an engaged, positive workplace culture.
The ideal candidate is highly organized, analytical, trustworthy, and personable, with the ability to manage multiple priorities while maintaining exceptional customer service.
Manage resident billing and accounts receivable processes with accuracy and timeliness.
Collect and reconcile resident payments and monthly rent.
Assist residents and families with billing inquiries, invoices, and account reviews.
Process invoices, expense reports, and vendor payments.
Monitor departmental spending and budget performance.
Prepare financial reports and documentation for leadership, audits, and regulatory compliance purposes.
Ensure financial records are maintained according to established accounting standards and company expectations.
Coordinate payroll administration and employee record maintenance.
Manage onboarding and new hire paperwork.
Assist with orientation, employee file compliance, and training documentation.
Support background screenings, reference checks, drug screenings, and license verifications as required.
Help ensure compliance with employment laws, regulations, and company policies.
Partner with community leadership to support employee engagement and retention initiatives.
Build positive relationships with residents, families, vendors, and team members.
Maintain the highest level of confidentiality and professionalism.
Support process improvements that enhance efficiency and customer service.
Prepare reports, presentations, and administrative documentation as needed.
Serve as a trusted resource for operational and business office functions.
Bachelor's degree in Business Administration, Accounting, Human Resources, Finance, or related field; or equivalent combination of education and experience.
2 to 4 years of experience in accounting, business administration, payroll, human resources, or related fields.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Ability to manage multiple priorities in a fast-paced environment.
High level of integrity, discretion, and professionalism.
Experience in senior living, healthcare, hospitality, or related industries.
Knowledge of payroll and HR systems.
Experience with Microsoft Office and Excel.
