Townsen Surgery Center - East Dallas is looking for a Medical Records Specialist to join our team in Mesquite, Texas!
SUMMARY: The Medical Records Specialist is responsible for ensuring that patient records and related documents are accurately scanned, indexed, and maintained in the electronic health record or document management system. This position performs quality-control reviews, supports the daily workflow of the processing unit, trains new and existing employees, and serves as a resource regarding document-processing procedures, forms, and standards.
ESSENTIAL FUNCTIONS:
- Reviews 100% of scanned images for legibility, completeness, orientation, and overall image quality.
- Identifies and corrects at least 98% of poor-quality scanned images in accordance with departmental quality standards.
- Indexes documents accurately to the correct patient, encounter, and document type.
- Verifies that each document is assigned the correct document name and filed in the appropriate location.
- Splits, merges, inserts, and appends pages or documents when appropriate.
- Conducts quality reviews of document preparation, scanning, indexing, analysis, and client-interaction work products, as applicable.
- Reviews assigned work daily and ensures that all records and assignments are processed within established timeframes.
- Generates performance, productivity, and quality reports as requested.
- Provides orientation, education, and ongoing training to new and existing employees within the processing unit.
- Serves as a departmental resource regarding forms, procedures, workflows, and document-processing requirements.
- Maintains the master forms index and communicates new or revised forms and associated procedures to processing-unit staff.
- Performs routine cleaning and maintenance of high-speed scanners.
- Troubleshoots scanner errors and performs minor repairs or coordinates technical support when necessary.
- Performs daily reconciliation of discharged patient accounts and follows up to ensure that all required records are received and processed promptly.
- Protects the confidentiality and security of patient information in accordance with HIPAA, organizational policies, and applicable laws and regulations.
- Performs other related tasks as needed.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of medical-record content, organization, and document types.
- Working knowledge of HIPAA privacy and security requirements and proper handling of protected health information.
- Familiarity with physician signatures, provider documentation, and applicable service codes.
- Strong attention to detail and commitment to accuracy and quality.
- Ability to organize and prioritize work, meet deadlines, and respond appropriately to urgent requests.
- Ability to use sound judgment and make decisions based on accurate information and data analysis.
- Ability to identify discrepancies and resolve routine document-processing issues.
- Ability to communicate procedures clearly and provide effective employee training.
- Ability to work independently and collaboratively in a high-volume environment.
- Ability to adapt to changing priorities, procedures, and technologies.
- Basic proficiency with electronic health record systems, document imaging applications, scanners, and standard office software.
EDUCATION AND EXPERIENCE:
- High School Diploma or GED
- One (1) year of experience in a healthcare setting
- Current BLS or must be obtain within first 90-day of employment.
